1.0 Introduction
Dublin International Conference is a major festival which will be celebrated in Ireland in
April 2018. There is no fixed date for the event and it might change every year. The event for the
coming year will centre on the topic of tourism and the areas associated with it. The target
audience of this event is not restricted to a specific group and delegates will be invited from the
field of spots tourism, eco tourism, cine tourism, gastronomic tourism and other upcoming areas
in the same sector. Such a festival in Ireland supports the trade, tourism and investment of the
country. This major event will build up an international reputation for the particular country.
This particular conference in Ireland will provide a golden opportunity to strengthen mutual
relationship among the countries all over the world and also have a deep bond with the Irish
Diaspora. This will be a whole daylong event divided into two parts for the ease of the
participants and better understanding of the discussion. This conference will throw light on the
significance of tourism for uplifting the Irish culture and its dissemination throughout the world.
1.1 Venue and time
The event will be held on 18th April 2018 from 9 am to 9 pm in the main hall of RDS
conference centre and Convention Centre Dublin. The first part of the event will start from 9 am
and will go on till 1 pm in the main hall of RDS conference centre. The second part of the event
will start from 3 pm and will continue till 9 pm. Lunch will be provided to the guests and
participants from 1 pm to 2 pm. A short break will be provided for 30 minutes at 6 pm.
1.2 Objective
The main objective of this conference is to promote tourism in Ireland by the hired event
management company. This is the first time such a conference is taking place but the intention is

to spread awareness therefore it will be held every year in order to engage people into the topic.
The aim of the event is to make all the people in and around the globe aware of the impact of
tourism and culture in Ireland. This conference will be designed in such a way that it will not be
monotonous yet, will be able to catch the attention of the audience. The cultural program that
will be organized after the conference will be planned in a way so that the guests can discuss
about its effectiveness in promoting the local culture. With a colorful and vibrant performance by
professional artists, the show will consider Ireland as the most suitable country for visiting. A
detailed schedule will be given with timely activities for the day along with a production plan
and a floor plan. A work breakdown schedule will be provided for 3 months time frame. A mood
board will include the ideas relevant to the conduction of the event. This event will help in the
promotion of the country on a global level.
1.3 Promotional tool
A major event such as an international conference needs to be promoted globally and
online promotional tools are considered to be the best in that regard. There are a variety of online
promotional tools such as feedback forms, bookmarking, content, coupons, contests, surveys,
awards, online chats and tours. The use of promotional tools is dependent on the factors of online
objectives, customers, marketing budget, products or services and competition. For this
particular event feedback forms can be used to gather data from the audience and what are their
expectations in the coming days.
1.4 State of the art technology
In order to showcase Dublin as a modern city this event will incorporate 5 new event
technologies. With the increased use of technology and mobile applications more people and

delegates can be made aware of the effectiveness of the event and the role it plays in the
sustainable development of the country. The theme of the event will be related to green as it is
there in the national flag of Ireland and it also signifies life, nature, renewal and energy which
are associated with tourism. By using green as the theme of the event the participants and
delegates will also realize that green is the meaning of growth, harmony and freshness which are
synonymous with tourism.
The 5 event technologies will be as follows-
1.4.1 RFID
RFID or Radio Frequency Identification will be used in the event which will help in
achieving success. A number of aspects will be improved with the implementation of the system.
It will not only speed up the registration time but also help in the analysis of qualitative and
quantitative data but also help the event planners to set the target of work and promote repeat
attendees.
1.4.2 Multi- use apps
The loads of paper works have been have been substituted by the use of apps. By using
various mobile applications this event will look into the explanation of the activities to the
guests, breakdown of the schedule and also give information about the speakers. With the use of
these apps the guests will have the opportunity to interact and socialize with the other
participants to increase their network before, during and after the conference.

1.4.3 Wearable technology
With the use of wearable technology there will be refurbishing in the process of site
inspection and also food and beverage. This conference will also use the wearable technology to
give options for menu, route guide and travel directions along with contact information.
1.4.4 Virtual reality
This new kind of technology will be first used in Dublin as it is being initiated as a new
trend in conferences. Virtual information will have the ability to answer the frequently asked
queries of the guests and spread the required information to them.
1.4.5 Social media
Social media or new media is considered as the backbone of the event. An event
invitation will be created in the social media and the individual can keep a track of the invitees
who are going to attend the event. The information that comes through social media is equally
trust worthy as any other source. The e- invitation for this event will also be made keeping in
mind the latest trends in social media strategies.
1.5 Participants
The delegates will be invited from the specific sector of all countries and the event will
be chaired by the Environment Minister of the country. The chief guest of the event will be the
tourism minister of the country, Shane Ross. There will be other ministers as the delegates of the
event. The MC for the event will be a professor of the tourism department of Dublin Institute of
Technology. Students of the tourism colleges will also be invited to participate in this significant
conference so that they can have sufficient experience about the particular field.

Mr. J. Collins is the head of the tourism department of Institute of Technology
Tralee and has won an award for his movement against saving the planet from global
warming. He is also going for an international marathon to save the endangered species.
Ms. S. Smith is the professor of eco tourism department in Limerick Institute of
Technology. She has also been the guest lecturer in Letterkenny Institute of Technology.
Ms. Smith has acclaimed worldwide recognition for her speech in the topics of sports
tourism and cine tourism.
Ms. T. Williams is a researcher in the field gastronomic tourism. She has gained
success in this particular field in Ireland and will continue it till the awareness is spread
worldwide. She also gets invited to various universities for her beautiful oratory skills.

1.9 Production plan
Following is the production plan of the event which contains the details of the whole day

the base color and the decoration of the venue will be done keeping in mind the topic of tourism
variety. At the gala event, as soon as the guests will put their foot inside the hall they will get the
aura of a number of tourism kinds and will be able to taste each one individually with the
performance related to those. There will be designed costume for all the guests which they will
have to wear inside the hall to get the feeling. All the staff members of the catering department
will always be on their feet to serve the significant guests. There will be volunteers to help the
guests whenever needed. There will be sufficient preventive and precautionary measures to
mitigate any kind of risk in the course of the event.
