Question 1: When developing a human resource plan for a project, a project manager needs
to take into account several key considerations regarding the team s/he is building. Describe
at least 3 of the key considerations using your own words.
Answer: There are various key considerations that requires to develop human resource plan
for the project effectively. Project manager undertakes three key considerations such as
staff, manages and builds which supports to complete task on time. It is a primary role of
project manager to access, motivate and reward the staff member time to time then team
automatically can bring the vision of project and supports to fulfil that within timeframe.
So, project managers initially access their staff member’s strengths and weaknesses before
creating human resource plan. Then they manage wellbeing of the staff members by
offering rewards time to time. In last stage, project manager builds number of teams for
different projects accordingly their capabilities and motivates them intrinsically to give high
performance within workplace while working with other team members. Thus, these are
major considerations that are required to undertake by manager regarding the team
building for the project.
Question 2: There are three key types of project organizational structures. Name these 3
structure types and using your own words provide a brief explanation for each one.
Answer: There are three types of project organizational structures such as:
RAM (Responsibility Assignment Matrix): This organizational structure use to
demonstrate interconnection between project team member’s and work packages.
With this project organizational structure project manager can define roles and
responsibilities and level of authority based on the designated post for certain
project and activities. This organizational structure ensures that there is only a
person who responsible for only one task without confusion. This structure is also
known as functional organizational structure because it also empowers people based
on the hierarchy.
Matrix organizational structure: This project organization structure denotes specific
function of individuals who is in team. This model is useful when group of teams
involves external and internal resources to specify division of roles and
responsibilities.
Project organizational structure: This project structure is completely different from
functional organizational structure because here staff are empowered based on their
work functions. Project manager has wide number of responsibilities from project’s

budget, schedule and project team. So, project manager keeps on top hierarchy as
compare others.
Question 3: As a project manager you have now allocated a team of people to your project.
How will you best be able to communicate your decisions to the team and stakeholders and
receive agreement on the decision?
Answer: Communication plays effective role within organization because it brings healthy
working environment and maintains wellbeing of individuals. As same case with project,
whereas communication is highly important because when project manager will
communicate with the staff effectively for decisions and task delegation then individuals can
perform work effectively. To communicate with teams and stakeholders effectively will use
range of communication media, tele communication and other internet sites. Project
manager can drop email an email to communicate decisions with stakeholders and easily
can receive agreement on all decisions effectively. While wide range of electronic, internet
media, telecommunication and face to face interaction etc. are the best options that will
support to communicate with number of teams precisely and avoids issues regrading tasks.
Such wide range communication system is not only supported to communicate decisions
with teams and stakeholders but also leads healthy conversation regarding project
achievement.
Question 4: Describe, using your own words, two ways that a project manager will be able
to measure a team member’s performance against the agreed criteria for the project?
Answer: There are two methods to measure team performance such as performance
management approach and requirement matrix against the project criteria.
Performance management Approach: it is the best approach to measure individual’s
performance within team. For example, performance management system
determines weak areas of team members while dealing with tasks so that area can
be developed and does not impact on overall team performance. This approach also
uses performance rating scale to access individual team competency level while
working in bit complex task then grade them accordingly task achievement which are
prior to assigned by project manager regrade project. With this approach, project
manager can effectively manage performance of individual team members.
Requirement matric: It is another performance measuring matric that helps to
measure that their team member enables to meet project requirements or not. With
this matric manager of project can assess individual teams’ performance on the basis
of outcomes which receive in the form task achievement or financial benefits.

Question 5: Having measured a team member’s performance, the project manager finds
that one of the team member’s work is not meeting the agreed criteria (for example, the
work may be behind schedule or lacking in quality). What actions would the project
manager need to initiate to help overcome these shortfalls in performance? (150 words
minimum).
Answer: In that state project manager initially calls that team members to mee in his
personal cabin and communicate them friendly to know about their issues which they face
while dealing with project. To lead quality in their work will keep them on evaluation and
conduct training session so that that team members learns time management or work
management while working on the project. Apart from this, project manager assigns number of
tasks within training session which helps to improve their working efficiency within workplace and
they meet all needs of project accordingly its criteria. Thus, project manager can overcome their
weaknesses. Apart from this, project manager can appreciate those team members who actual puts
more efforts to make their working quality more productive. Such appreciation encourages
individuals to give honest performance as well as influences others. Thus, motivation initiative of
project manager can improve performance of team members who shortfall in performance.
Question 6: A project is running behind schedule by approximately 7 weeks due to problems
(disagreements) between team members and confusion around roles and responsibilities.
There is a risk that the project may not deliver the required product to the customer on time
and so a new project manager has been brought in to help get the project back on track and
deliver as planned. Using the four styles of management, how would this new project
manager approach the job of getting the project delivered on time?
1) Autocratic
Answer: Autocratic leadership style is a management style whereas one person
posses’ ability to control all the decision and takes few involvements of staff member
within decision-making process. Autocratic leadership leaders take all decision on
their basis of their belief, knowledge and self-assessment but does not involve their
staff members for the advice. Autocratic leader has goal to lead high profitability
within organization by achieving all short-term goals. Such leaders support
organization to gain competitive advantage. With this leadership style new project
manager takes decision quickly without expecting others for suggestions in
emergency situation. This leadership approach will help project manager in assigning
number of roles and responsibilities among staff accordingly their knowledge. It also
supports to delegate tasks with timeframe among teams as resultant it would make
individuals responsible and delivers on time. With this initiative new project manager
would enable to align all team members effectively.
2) Paternalistic

Answer: It is a managerial approach that includes a dominate authority concept
wherein leader treats partners and staff as an essential part of family and in return
expects as loyalty and trust from them. The main goal of the leadership style is to
make group of people or employees valuable for company by keeping them on
priority. Even such leaders enable to build good relationship with the staff members.
This leadership style allows leaders to involve in decision-making process for the
suggestion but final decision takes by leaders only. With this leadership initiative
project manager can communicate the staff member to know their issues which
causes they unable to deliver project on time and products as well. An effective
paternalistic leader keeps positive attitude and thinks about big mission and analyse
that how all decisions can impact on employees and partners. Thus, project
manager easily negotiates employees to work on their performance and understand
needs of customer so that they get satisfaction from deliverable project.
3) Democratic
Answer: It is also known as participative leadership or shared leadership wherein
leaders involves all employees in decision-making process and encourages them to
participate in the form of keeping viewpoints and suggestion for the particular
situation. Such leadership allows leaders to understand needs and expectation of
employees and leads satisfaction in them for the job by fulfilling their needs.
Democratic leader helps company to retain it’s staff member and builds good relationship
between employer and employees within company. Such leadership follows by manager to
retain effective workforce so that they help to gain long-term goal. With this leadership style
new project could carry out open communication within workplace that would help
individuals to communicate with other team members regrading task and improves
productivity of working. Even project manager could organize training session for the such
employee who are lacking behind of some skills like time management, work management
etc. thus, this approach would support project manager to deal with current scenario
effectively.
4) Laisses-faire
Answer: It is a direct leadership style but bit different from autocratic leadership
because there are few decisions that are taken by leaders for company and permits
staff or group of members to select right workplace solutions. The major benefit of
the leadership is that it empowers employees and improving their overall
productivity. Such leadership style also supports a team or group of members to
become more innovative and enhances their morale’s within company. New project
manager could understand the needs and expectation of their team and understand
requirement of company through this leadership style. This leadership style would allow
new project manager to access it’s delegation process and provides efficient time to focus
on superior level of tasks. The main goal of the leadership style is to make individuals
independent to take appropriate decision in each situation either favourable or non-
favourable. Thus, with this leadership style new project manager could build dynamic
capabilities in employees which would support to meet customer’s objectives by offering
desirable project on time.
