Executive Summary
This report will discuss the Collaboration technologies used by business to interact with their
stakeholders. Collaboration is an effort of individual or groups to achieve a desired goal or task.
Collaboration in an organization consists of the efforts of individual or group to contribute to the
task. In an organization, collaboration ability is increasing as it is important for the applications
of business. If companies want that their workforce to perform faster, smarter and to increase the
productivity they need to implement collaborative technologies into their processes.
Collaboration platforms help employees to create different ways of performing their job. These
technologies are available from last many years. Toyota Company has been selected for this
report and report will explain the importance of collaboration technology for Toyota Company.

Toyota Motor Corporation (TM) is known as the largest automaker in the world. In 1937, the
auto industry of Japanese was established. Kiichiro Toyoda is the founder of the company and
the name of the company also came from its family name (Parker, 2016). A successful
businessman of Japan who invented an automatic loom in manufacturing company. Commercial
vehicles, automobiles, engines and luxury vehicles are the products Toyota deals in. Production
car line up of Toyota- Commercial Vehicles involve REGIUSACE, HIACE (for Europe),
COASTER and HIACE. Mini Van involves NOAH, VELLFIRE, ESQUIRE, ALPHARD,
VOXY, and ESTIMA. SUV involve LAND CRUISER 70, LEXUS LX570 and LAND
CRUISER 200. Special purpose vehicles involve Load labor-saving vehicle, Container van,
Hiace can with powerlifter and Freezer/refrigerator vehicle (Toyota Auto Body, 2017).
Vision
The vision statement of Toyota Motor Corporation shows their long-term strategies in the
automobile industry. The vision of Toyota states that the aim of the company is to attain
leadership position across the world. It also states that Toyota is regularly moving forward
toward providing good quality, new and innovative technology vehicles, protecting the
environment. Therefore, corporate social responsibilities are included in the vision statement of
Toyota (Greenspan, 2017). In addition to this, they also focus on the development of the human
resource. Therefore, the vision statement of Toyota is holistic as it involves strategic goals for
global leadership, development of human resource, corporate social responsibility, and quality of
the product.
Mission
The mission statement of Toyota is focused towards products. The first priority if Toyota is the
expectations and preferences of their customers, possibly depends on market research and trends.

The mission statement is consist of the strategic actions, it also highlights the product quality,
with reference to the safety and satisfaction of the customer. In addition to this, the mission
statement of Toyota identifies education of the employees is the path that follows the
development of human resource. Besides this, the Toyota mission statement states that company
upholds their promises of technological innovation. Innovation is the factor that helps the
company to achieve their aim of corporate social responsibility, customer satisfaction, and
product quality.
Toyota wants to provide a good experience to their customers by providing good quality and
safety vehicles which will result in customer satisfaction. They are also focused towards
increasing the market share of their company.
Strategies of Toyota
Price of the Toyota vehicles is according to the segment. They divide their market into the
different segment and according to that, they manufacture their vehicles. Toyota also adopts
product diversification strategy according to technology and customer preferences.

The headquarters of the Toyota Motor Corporation is in Aichi prefecture in Toyota city of Japan.
In the journey of Toyota, they have seen many ups and downs. The entry of Toyota Company in
the US market was in the year of 1957, with their Japanese passenger cars. The Toyota Company
is majorly in the manufacturing and selling of vehicles and spare parts all around the world.
Presently, the company is operating in 28 countries with 58 overseas companies of
manufacturing worldwide. In addition to this, the vehicles of Toyota are sold in more than 170
countries. In 1937, Volkswagen the European auto giant and Toyota a Japanese automaker were

founded. However, this was late as compared to the foundation year of General Motors in 1908

In the list of Forbes world’s largest companies of 2015, Toyota was ranked at 11th position. The
ranking was based on the profits, market value, revenues, and assets of different companies.
Toyota is registered on numerous Japanese stock exchanges. From all the stock exchange the
most famous exchange is Tokyo Stock Exchange.
Collaboration with stakeholders
According to the heads and managers of Toyota if they want to be a part of sustainable
development than they have to corporate and interact with their stakeholders. Therefore, the
process of interacting with the stakeholders should be given more importance. For this, they took
a decision of maintaining a healthy relationship with the stakeholders by promoting effective
communication that should be open and fair. Along with the decision of interacting with the
stakeholders they give first priority to their stakeholders (Toyota Motor Corporation, 2017).
Further, Toyota allows their stakeholders to be the part of the project of sustainable development.
Some of the ways through which Toyota communicate with its stakeholders:

Toyota motors have a varied choice of the communication process and collaboration
technologies through which opinions, ideas, perceptions, and feeling are shared between
employees and other stakeholders. Some of the collaboration technologies are:
Email
Toyota Motors use E-mail for interacting with their stakeholders so that communication gap can
be eliminated and work can be done without any hindrance. The process of the transferring the
computer-based messages through telecommunication is known as E-mail. The messages of E-
mail are generally encoded in ASCII TEXT (Rouse, 2013). Though non-text files can also be
sent as an attachment, like sound files and graphic images, these are sent in binary streams.
People use to operate internet for the sake of E-mail and still it is very famous. E-mail involve a
high percentage of traffic on the Internet. E-mail can be exchanged between networks and online
service provider users. E-mail can be transferred to the group of people and even to an individual
(Digital Unite, 2017).
Importance of E-mail for Toyota
Immediacy- E-mail is delivered very fast, it does not take much time to inform about an event to
the receiver, whether the receiver is at the place nearer to the sender or away from the sender. It
helps in exchanging important information very fast (Storm, 2017). Through E-mail, the flow of
information in Toyota Motor does not stop and it helps them in increasing the production.
Further, employees and executives provide quick response to any problem or issue.
Low costs- One of the cheapest ways of communication for Toyota is E-mail. As compared to

another email address that can be easily detected in case of fraud or theft. Further, people have to
provide their email account details while doing online shopping, online bill payment, banks, etc.

Mass Communication- Email has many advantages as compared to other social networking sites
such as Facebook, Twitter, etc. but one of the key advantages of email is that it transfers
information to a group of people without revealing their identities to each other. It also saves
time of the business of sending same message or information to different people.
Instant messaging
When a single conversation held in the Internet-based chat room and two-person participate in
the form of text-based communication over their mobile device or computer is known as instant
messaging. IM is different from ‘Chat" as in chat person communicate with many people in a
chat room and everyone can see what is being said on the channel. Normally, instant messaging
is used to achieve two goals: observing the reason of sending presence-based alerts to the
operators in messaging and chat room. To observe the existence the software depends on the
server (Larson, 2017).
Importance of instant messaging for Toyota
Instant messaging plays important role in Toyota Motors as it make the conversation easy and
fast. Through this collaboration technology, employees send messages to each other and receive
an instant response without face to face conversation. It also creates a virtual conference without

Wikis is a website which offers collaborative editing of the content in it and its structure by its
user. Wikis word came from a Hawaiian word "wiki wiki," it means fast. Hyperlinks are
supported by wiki and it supports hyperlinks and it requires simple text composition for making
new pages. Example of the large wiki is Wikipedia, it is an encyclopedia provide data in
different languages that can be edited by anyone. One of the key major importance of wiki is that
it involves collaborative editing by the users (LeBar, 2017).
Video conference
A visual, live association between two or more people belong from different locations for
communication with each other is known as Videoconference. It enables visual communication
between two and more people with this it also provides facility full-motion video images and
good audio quality between various locations. Services like Skype of Microsoft, Face time of
Apple and Hangouts of Google have made video conferencing pervasive on desktops and on
mobile devices with camera feature (Rouse, 2017). In the world of business, video conferencing
plays an important role as it makes the communication easy between different business and their
units. Most of the business make a separate room for video conferencing for conducting a
meeting or taking important decisions. Business can make conference room with minimum
investment in infrastructure (True Conf, 2017).

Importance of Videoconferencing for Toyota
Increase efficiency- The importance of video conferencing is that it increases the efficiency of
the Toyota Company. Managers of the business express their ideas and thoughts immediately at
the time of video conferencing it reduces the time duration taken to make decisions and
collecting ideas.
Positive communication- Video conferencing is a good technology used by Toyota Company to
enable smooth communication amongst the participant. Video conferencing provide a clue about
the body language, expressions, and movement of the participants (Eztalks, 2017).
Cost effective- Video conference results in reduces the traveling expenses of Toyota Company.

effective and files can be uploaded easily to share with colleagues and managers.

Conference calling help people to conduct a meeting on phone calls with people from different

can talk to anyone at any time and place, it is beneficial for business with remote workers,
business with multiple offices or with clients of different locations, as it offers people and
business to stay connected everywhere. Conference calling reduces the expenses of traveling, it
is very flexible and cost-effective. Further, the conference call is very helpful for last minute
meetings, it helps people to work from anywhere and anytime (Powwow Now, 2017).

with them and inform them about changes and innovations. Collaboration technologies like e-
mail, wiki, video conference, file share, conference calls and instant messaging. These
technologies helped Toyota Company in increasing their efficiency and speed of work. Managers
of Toyota Company interact by using these technologies to make instant and immediate
decisions about important events.
