Introduction
Organisations today are facing several issues in terms of reducing employee participation,
lower employee productivity that is affecting the overall organisation performance. In the present
scenario of changes in external environment there are some external issues affecting internal
functioning of organisations. For instance the present covid-19 situation has affected internal
functioning of organisations. Overall employee productivity is affected to some extent because
of this fast changing external environment (Jones, Molitor and Reif, 2019). The present report is
based on discussion of the ways in which overall workforce participation can be improved. There
is analysis of the effective ways of communication to be used by employees with proper social
distancing. The report is based on a reflection assessment and analysis of various issues that can
arise in the course of a organisation.

Scenario:
My name Katerina, I have been working in a group of 5 members. I met other 4 members of my
group on zoom. My lecturer has selected these members for the purpose of this assignment. The
main objective of this activity is to enhance the group participation on online learning platforms.
There are many issues that are arising in that require development of contemporary solutions.
The overall discussion is based on the way to improve workplace participation of employees.
Workplace participation:
Theory and techniques: Fish bone diagram is a scenario that is used for the purpose of analysing
the problems in a structured way. The reducing employee engagement and the present covid-19
scenario has affected the employee mindset in a negative manner (Dahl, Larivière and Corbière,
2017). It is creating a situation to enhance the overall employee participation. There can be use
of fishbone diagram to analyse various solutions to be adopted in the present context.
Visualization of potential causes: fishbone diagram is based on seven different quality tools to
identify the potential causes and identification root cause of problem. There is requirement for
identification of problems, detailed analysis of situation and addressing of quality issues.
In context of organisations, fishbone diagram is very helpful in analysing different phases of a
problematic situation by laying down measures for defining, measuring, analysis, improvement

and control. Each area is further identified and discussed as per the requirements of specific
problem.

Advantage of using fish bone diagram: while working in group assignment when I was assigned
the activity to identify the problems and develop some solutions that are faced in workplace
(Kim, 2018). Using of fish bone framework is one of the crucial tools to be used by employer.
It is used to diagnose the problem before they are manifested so that damages across operational
issues are timey identified and solved.
Disadvantage: There are some of the disadvantages of using fishbone as it does not provide the
basic solution for root causes. There is wastage of time and resources in identification of other
causes that may not be critical to the problem.
Solution workplace participation: After working in group and identification of various methods
that can be some solutions that can lead to enhancement of employee participation. I discovered
that encouraging flexibility can help in increasing employee engagement (Icardi, 2019). Better
relationship between management and employee can help in motivating employees, enabling of
trust and building up of teamwork.

There is clarification of goals and responsibilities that is required on part of employer so that
employee is able to have a clear mindset while working in organisation (Shahin and et. al 2020).
It can help them in dealing with complexities at workplace.
While I have been working on different aspects with my team members we also came to the
conclusion that development of a people focus culture can help employees in practicing a
balance lifestyle between their personal and work-life.
Collaboration is also effective solution for improving the level of employee engagement.
Collaborative techniques can help in creating a happier workplace environment and increasing
collaboration among employees.
Benefits: From the overall the research it is discovered that overall participation at workplace
helps in boosting individual productivity. It helps in enhancing the overall productive culture
of organisations. Once individual level of productivity is enhanced there is a direct impact on
overall productivity of organisation.

Effective communication and social distancing:
While I and my 3 group members are participated in the workplace activity we analysed that
there is a problem related to communication effectively while maintaining social distance. For
successfully doing a work in an organisation it is very important that all members are effectively
communicating with each other.
This is because without effective communication it becomes difficult for organisation to
achieve its laid goal. I and my team members analysed that effective communications is very
important for an organisation. This is because if there is no free flow of communication than are
chances of misunderstanding and chances of conflicts that may arise between the employee and
organisation (Baharvand and et. al. 2020).
While applying this concept in the course of group activity, we developed understanding
that if there is no effective communication between me and my other team members than it may
lead to non achievement of laid objectives of this report.

I came to a conclusion that ineffective communication may lead to disputes in organisation
and further affect the overall working culture of organisation. I developed overview that
communicating effectively while maintaining social distance is very necessary for functioning of

an organisation. Communication is a regarded as transfer of facts, ideas, feelings, information
from one person to another in a clear and understandable manner. I and group members
understand that effective communication play an important role in any business.
When there is a free flow of information than all members are able to discuss their ideas to
higher authorities which help in building a strong relation between them. Effective
communication helps in clearing of all doubts between employees and employers. I further
analysed that effective communication can help an organisation in motivating their employees.
This is because when the higher authorities are involved in the process of decision making
employees posses may feel that they are important part of the organisation.
It will help in enhancing the present level of motivation & employees will be working with
high amount of efficiency and productivity, further helping organisations in achieving their goal.
Apart from this I also made a analysis that for creating a positive environment in organisation it
is necessary to maintain overall effective channels of communication It is important for
organisations to use effective communication while maintaining social distancing in this
situation of COVID 19 (Paschal, 2020).

with enhancement in technology advancement (Stark, 2019). In present scenario, employees can
communicate through mobile devices quickly this will help in sharing and reaching of
information in very less time period. We analysed that it is one of the best theory for an
organisation to ensure effective communication while maintaining social distancing.
By applying this theory in organisation every employee of company will able to
communicate and ensure transmission of information to other person or higher authorities in
limited time period. It is one of the effective communication tools that can help in preventing
wastage of time and resources.
I also examined that with the application of this communication theory a organisation will
be able to maintain social distancing as employees are communicating with the help of
technological measures that does not required any physical presence.
It will help in prevention of physical interaction between employee and employer. As part of
our group assignment we analysed that this theory is very helpful for company. It is going to

assist in enhancing the overall employee engagement and employee’s participation in
organisation activities. We also analysed that this theory of communication will help
organisations in effectively managing free flow of communication. It will help in enhancing the
present motivation level of employees because if employees posses any doubt then they can
directly connect to the higher authorities.
It may also help organisations in receiving better ideas because of higher participation of
employees. It is going to help organisation in having higher innovation and creativity
(Thompson, 2018).
Lastly, we came to a conclusion that for achievement of success of organisation it’s very
important to have effective communication and this theory will also help in maintaining social
distancing. We came to a conclusion that organsuiation will be able to maintain a good working
environment and culture in an organisation with channels of effective communication. Overall
clarity can be maintained across organisation. This project will helped me in analysing the
importance of effective communication in organisation that s crucial for the purpose of archiving
higher future growth.

CONCLUSION
From above discussion it is concluded that workplace participation and effective
communication is very important for success of organisation. Both the factors will help in
dealing with situations of misunderstanding and disputes between employee and employer. For
effective communication there can be application of groupware theory of communication. With
effective communication will also motivate workforce to participate in the process of decision
making. Other than this a company can also use fish bone diagram for motivating their
employees to enhance their present level of participation.
