has the plan to establish a strong technological platform for their customers so that the
customers who could not find the product at retail stores can brought it through the
online platform. The company can set the standards for the online platform for
example, the delivery services they would going to provide to the customers, the
services related to post purchase, the customer services, the safe and secure software
which the company would use so that the customer can make their easy and secure
payments and so on (Hoda and Murugesan, 2016). The quality management process

without any compromise in their quality. The factors for which the company will
insure the quality are:
Customer experience: The company would put major focus upon the experience
delivered to their customers. Making the customers happy and satisfied is the main
objective of any organisation, if the customers are happy they would make the
purchase again. Gourmet Food would insure that online services should not hamper the
experience of their customer.
Efficient Processing: The Company seeks its focus also at cost saving through the
application of better and advanced resources so that their operational activities would
not get hamper. Gourmet Food has taken care that their organisational activities must
run as good as earlier even at the online platform, therefore for this they need to
monitor their quality for order entry, online payments, online displaying of item and so
on.
Inventory system: As the organisation has planned to expand their business through
online platform they need to take care for their inventory too. They have to maintain
the level of their inventory in such a way that it fulfils the upcoming demand for the
product (Meredith, Shafer, and Ma Jr, 2017). To succeed this the company has to
maintain a advance inventory management in which they have the full account for their
stocks, finished and semi finished goods.
The quality management process for the Gourmet Food is as follows:
Plan quality: In this the company set the standards for their quality. They also make
mode their activities in such a way that they can achieve the same (Picciotto, 2019).
The gourmet Food has also in set their standards for their quality purpose and the
activities through which they can achieve it. For example they have set the activities
for assuring the timely delivery, secure payments, and order management and so on so
that they can achieve their standard quality goal.
Do quality assurance: Through this management process, the company can assure
that their process are performing as per the quality or not. For checking this they have
set a quality standard which the company needs to achieve. Through this the company
can bridge the gap between the actual performance and standard performance to attain
the quality standard.
Quality control: It is a way to bridge the gap between the actual quality and standard
quality. The actual performance is matched with the quality set. If the gap between the
two is high then the company is required to take the quality measures so that they can
minimize the gap.

Risk Management Process
Risk is a threat which a company has or faces during a project. In the case with
Gourmet Food, the project is to expand the operational business of the company at the
online platform. There major aim is to deliver the products to the customers who
cannot purchase it from retail store due to unavailability. As they would expand their
business, they surely would face number of problems or the risk which they need to
take under account and find solutions for these problems.
The risk management process is said to the managing the risk by taking the corrective
actions (San Cristóbal, and et al., 2018). These may include identification of risks,
analysing the risk, put the risks at priorities and then finding out the solutions for these.
The following risk can be indentified in the Gourmet Food project:
Software hack: There are times when the software or online sites of the company gets
hack and the personal information of the customers gets leaked or grab by some other
person who can make the other use of such sensitive information. Such cases are
happening in such a speed that now people preferred to buy the products through retail
store only. It is the responsibility of the company to take care for the information of
their customer through the application of secure software into the system.
Inappropriate management system: The inventory management system which is
applied by the company is not as compatible for the organization as it supposes to be.
This would create the problem for the company only as they would not be able to
manage the inventory in a proper manner, which can put its impact upon the online
business of the company as they would not be not able to satisfy the customer demand
for products (Eriksson, Larsson and Pesämaa, 2017).
Online payment risk: When a customer paid at the online platform, sometimes due to
some technical issues the payment could not complete, or gets transformed at some
different account and etc. It is the company’s responsibility to make sure that the
payments done by the customers is safe and secure so that it can gain confidence upon
the company and make their continual purchase.
The above present risks can get reduce or eliminated through the adoption of
corrective steps or actions, these actions can be presented through risk register which is
presented below:

Communications Strategy
A clear and transparent communication is an essential for any project. Clear
communication enables the project to early detection of problem or issues face in
between, monitoring of tasks, and taking the corrective measures in time. Apart from
this it also helps in maintaining the coordination among the activities which are
undertaken in the project. The company can maintain a good communication system in
the project through:
Conducting meetings: The project manager needs to conduct the meetings twice in
every week. In that meeting he can check up the details and work progress done yet.

The other team members present there can also share their experience and the problems
which they are facing in performing the project work. This can insure the monitoring
of proper work and timely corrective actions for the problems (Daniel and Daniel,
2018). Such activities will also enable the project manager in meeting his target at the
decided schedule as he would be completing the entire task as per the time table.
Reports: The team heads would suppose to present a report in every 10 days in which
they need to present the work which has been completed by them yet. In report they
also need to make a graphical representation about the point they have reached to
achieve the goal. This would help the project manager about the level of progression
they have achieved in the project completion.
Project Control Structure
Controlling the project and its activities is very important otherwise the project can
take into some other turn. For this the manager need to make some plans which would
help him in handling the project when it is not going as per planning. Some of these
plans are as follows:
Contingency plan: The contingency plan can be taken as a Plan B in which the
company has to plan for the project (Kerzner, 2019). To prepare such plan the
company has to image about the worst of situations which they can face in the project
and then they need to plan for this contingency Plans. The contingency can help the
project to not get sink. This provides a sense of security and safety to the project
manager.
Time margin: When the company is planning for this schedule about the activities
which they need to take under account for completing the project along with the time
need, they can add up some extra time margin so that if any factor gets arise which
would result in some delay of the work. Therefore a time margin can help the project in
such circumstances.
Change Control Procedure
Change of activities can be a normal thing in a project. But when a manager has to
initiate any change, he has to go through a process or the procedure to establish it
properly. In the case with Gourmet Company, the procedure which needs to get
followed can be:
Defining the change request: The person who has raise the request for bring the
change in the activity has to explain about the logical and legitimate reason for
Document Page
Project Plan Gourmet Online
bringing the change. He needs to present his request and reasons to the heads in a
document.
Reviewing the change request: In this the company or the project manager with all
the other heads, review the request made by the person. These people analyse the
whole situation and reason which he has bring up for making a change (McLaren and
Loosemore, 2019). If the reason is consider logical to the heads then the request would
be taken under consideration otherwise it will get rejected.
Giving the response: At this stage the company needs to give response to the person
about considering or rejecting of his request. A document would be provided by the
heads stating their results.
Implementing change: At this stage, if the request of that person is considered by the
heads then the proper implementation process would take place in which the project
manager would bring the appropriate change accordingly.
Implementation Strategy
If all the things went according to the plans then they are very ready to
implement their products at the online platform. In this the company, Gourmet Food
would lined up all of their products along with their details at the online sites and
create a secure platform for the customer to pay (Noguera, Guerrero-Roldán, and
Masó, 2018). In the implementation strategy the company also implement their
inventory management system so that they can take care of all their inventories and
stocks which they have in their warehouses.
Recommendation(s)and Approvals
Approvals
The payment security system which is adopted and planned by the company is
very strong and also approved by the company’s heads. The strong payment system
would enable the customer to safely and easily perform the transactions which the
customer would perform.
The Hardware which is established by the hardware engineer is also approved
by the company as they are very much compatible with the company’s needs and
requirements.
Recommendations
The software which the company has adopted for the project should be
compatible enough that it gets run in the slow internet speed also. The software needs

to build up that much compatible by the software engineer that it gives the easy
directions to the customer about where they can find out their essentials.
PART B PERSONAL REFLECTION
To make this project successful, we all are allotted with a group. In this group
we have managed to divide the task or work among each other so that we do not face
any sort of confusion about the work which a person needs to perform. During the
division of work we can state clear roles and responsibilities which every person is
untitled to take. For example, Jack did the point 1 which discusses about the
documentation till the task 4 which states the project value statements. The task and the
work that lies between 1 to 4 tasks come under the responsibility of jack. He is liable to
perform these tasks (Turner, 2016).
Whereas the tasks between the 5 to 9 needs to be done by Lucas. We have learned that
while working as a team we need to divide the task within the members. Division of
work would help in reduction of confusions and the conflict within the group members.
In a work we need to listen to the other person’s opinions and interest areas. Like jack
was interested in performing all the documentation related task as he considered them
as his interest or he thought that he can perform it with more efficacy. This would
enable in bringing peace and understanding among the group members.
I also learned about the coordination. When a person works individually he made his
own plan and follows it. He also can bring the changes when and as he requires. But
when you work in a group you make a plan for a group which you need to follow very
strictly. He can’t bring the change in the plan without the consent of his group
members. The key to effective team is the good communication. When the
communication among the group members is clear and transparent then it would result
in clearing the doubts and difficulties which the group members face in between the
tasks. It also helps the members to know the other members which help in increase of
the bond in the team. To check upon the communication, we conducted meetings on a
regular basis in which we have about the progress of our work and then we coordinates
accordingly. The group work has taught me a lot of things like discipline, coordination,
communication, empathy and much more. Glad that I has an opportunity to a part of
such group.
