Scope & Time Management Part A – Schedule Management There are various changes that may occur in a project during its timeline. The changes in the project scope usually lead to the extension of the project schedule. However, it depends on numerous factors, such as nature of the change requested, effort needed to implement the change, priority of the change, and likewise. If there is lesser time and effort needed in the implementation of the change, then the project schedule may remain unaltered. However, in the case of major changes, extension of the schedule is needed. Impact analysis of the change is done in advance to determine such impacts on the schedule, costs, and resources (Heldman, 2013). The Project Manager shall formally communicate such variances to the project stakeholders. There shall be change request approval form obtained from the requestor and the project sponsor. Only the change requests approved by the sponsor shall be entertained. The formal change request document shall be prepared covering the change request summary, results of the change impact analysis, and details of the change. The sharing of the document shall be done with the project stakeholders using the SharePoint location. The information notification must be sent through the emails. The nature of variances along with the reason behind the same shall be explained during the weekly meetings with the stakeholders. The Project Manager shall also be ready with the supporting documents and references to answer the queries put forward by the stakeholders during such discussions. Feedback on Fellow Student’s Discussion The fellow student has stated that it is certain that the changes in the project scope will lead to the emergence of schedule overrun in the project. However, it is not entirely true. The impact of the changes in the project scope can be negative as well as positive. For example, if there are certain functionalities that were present in the original scope statement and are removed in the change requested, then the overall project schedule may decrease. Therefore, such an argument by the student is not valid. The student has also stated that there shall be analysis of the change that must be done using the qualitative and quantitative methods to determine the nature and impact of the change. It is correct and the execution of such a process will provide the ability to manage the changes adequately. The student has stated that the Project Manager shall communicate the variances to the project stakeholders using the tele-conferencing mediums. The use of tele-conferencing 2
Scope & Time Management mediums is essential since there may be remote stakeholders involved in the project. However, the use of documentation is suggested since it will provide the stakeholders with the clarity on the reasons behind the variance. The details of the change are covered in the change request form and sharing the approved form with the stakeholders will make sure that they understand the nature of the change and the primary reasons behind the same. It will also be possible to use the documentation for reference in the future. Part B: Scope & Time Management Plans Introduction Project management is one of the necessary activities that have become a critical component of a business organization in the present times. This is because the projects in the present times include several activities that run in parallel. These activities need to be managed and integrated with each other to achieve the goals and objectives of a project. The different project areas are also managed as per the guidelines specified under the project management methodology. There are different project management methodologies defined under the categories as predictive and adaptive methodologies. The report includes the scope and time management aspects of the Bungalow Project. It covers the project goals and objectives, scope statement, work breakdown structure, and schedule for the project. Project Goals & Objectives The goals and objectives of the project are to complete the construction of the Bungalow as per the specifications and guidelines. It is also aimed that the project will be completed under the specified schedule and budget and it will adhere with the construction best practices, ethical, and legal standards. Project Scope Statement The scope statement of the project includes the design, site preparation, and building activities for the construction project (Kheder, 2014). The project scope will also include the planning and requirements analysis activities for the project. The project design will cover the design structure as per the specifications provided by the client. Scope & Time Management development of plans and schedule, attaining engineering certificate, submission of plans to the local council, selection of the insurance package along with the selection of the project management team will be done in this phase(Project Management Institute, 2017). The second phase of the project scope will be the site preparation. There will be a temporary safety fencing erected as the first activity in this phase followed by the installation of temporary power pole, water point, and likewise. The cleaning of the site will also be a part of the project scope. Dig foundations, installation of the trench mesh, and footings will be covered in this phase. The next will be the Building (Lock Up) phase that will come under the project scope (Project Management Institute, 2017). The installation of the components, such as doors & windows, glazing, and floor joists will be done in this phase. The other installations and fittings, such as roof trusses, roof railings, guttering, roof tiles, etc. will be done in this phase of the project. The last will be the Building (Hand Over) phase. The final fittings and installation will come under this phase. The painting and landscaping activities along with the connection to sewer, water supply, and power supply will come under this phase. The cleaning up of the site and the removal of temporary fencing will come under this phase. The project scope will also include the final review and closure activities for the project to make sure that the project tasks are accomplished successfully. Work Breakdown Structure There are a number of tools that have been developed to carry out the project tasks and activities under project management. One such tool is the Work Breakdown Structure (WBS). It is a tool provides the graphical representation of the project tasks and activities. The project activities are represented in a hierarchical manner. There may be multiple levels that may be involved in the WBS, such as level-1, 2, 3, and likewise. The level-4 WBS has been developed for the Bungalow project. It includes the four primary phases of the project as design, site preparation, building (lock-up), and building (hand-over). The respective activities under every phase are also represented in the WBS. 4
Scope & Time Management Project Schedule The project schedule has been developed using MS Project tool for schedule determination and project management. The tool allows the development of the project schedule and creates a Gantt chart for the project. The details of the specific project activities along with the resources allotted to the project activities, project costs, etc. can be obtained from the tool. The total duration that is estimated for the project is 60 days.
