Subject: Regarding the Health and Safety Regulations of the NOV’8 Engineering
Dear Steve,
I hope you this email finds you in good health. I am writing from the NOV’8 Engineering New
Zealand division. This email is in regard to certain situations we are encountering in the
production centre. The employees have certain issues with the working environment being
provided to them and owing to this, they require certain changes to be made at the
earliest .
On further inspection of the factory premise for verification, we too found that there are
certain health and safety conditions which are not being met. The lack of these conditions
can result in a potential threat to the workflow as the workers have stopped working
temporarily.
The health and safety conditions which have been brought to our notice are:
Handling and storage of chemicals
Storage issues
Repetitive strain or posture issues
These are the most important issues highlighted by the worker which require immediate
attention. The rest of the issues have been submitted to the office in due format and have
been attached for your reference. Please find the attachment.
The workers are aware of how they are entitled to better and ergonomically fit workplaces.
Also, all the factors are having an effect on the health of the workers as well. The

absenteeism rates are rising and the efficiency is going down as well. The workers are
constantly falling sick, have body ache or postural issues. Since the workers are entitled to
medical benefits, the company is now seeing a rise in the medical claims as well.
I would like to urge to top management of the company to take notice of this situation as
soon as possible and treat it as urgent. The matter has now reached the employee union
and the workers are threatening to stop the work if their demands are not listened to within
two weeks.

All employees are hereby notified of the meeting which will be conducted with the senior
manager in regards to the demands made by the employee union regarding the health and
safety regulations of the factory floor.
All the employees have requested for the implementation of new health and safety
regulations and workshops regarding the same. The company acknowledges there concern
and dedication towards improving, and hence, the senior management has decided to send

in an inspection officer to take a look at the factory and subsequently interact with the
employee’s/worker union regarding their requirements.
The agenda of the meeting will be to further discussion on how the major issues which were
highlighted, namely, Handling and storage of chemicals, storage issues and repetitive strain
or posture issues will be tackled to ensure proper employee engagement and retention. A
new factory setting plan is to be also discussed to ensure that there are no further problems
due to the poor ergonomics of the factory design.
Furthermore, it is expected that the inspection officer will develop a new health and safety
charter for the factory as well. It is hereby requested that all the factory member are
present on 26 March to ensure that they are a part of this process and all their concerns are
being listened to. It will be difficult for us to organise such visits so frequently in the future,
hence, please make the most of it.
If there are any concerns, please feel free to take them up in this meeting. It is expected
that the first set of new rules and regulations regarding health and safety will be released
within a week from this meet. The second phase will then happen after monitoring the
results of phase 1 and further analysing the need.
Also, the minutes of the meeting will be recorded and emailed to everyone by the next day.
For any further information, please contact the office of Mr Ken Chen at the earliest. It is
also required for everyone to be dressed appropriately and conduct themselves in the best
manner.
