1. Determination of the purpose helps the writer to conduct a document that will address the issue to
be solved. On the other hand, determination of audience is necessary for writing a document that
will help the writer to determine their level of understanding, attitudes as well as beliefs.
2. Documents are generally prepared to be read by others. Proper formatting possesses a big role in
enhancing the easiness of reading the document (Pearson 2016). Not only this, a properly
formatted and structured document helps the readers to understand the content of the document
more easily and attract the same to go through the document. Structuring the document before
writing also helps the readers to include all necessary information in a logical as well as orderly
manner.

communications is to ensure that individuals understand whatever is being conveyed

majorly used methods includes email and text massages. In this type of communication,
information is shared through written document between the parties.

 Internet: In this era of technology, internet is considered to be one of the most crucial means of
both professional as well as personal communication. Two of the major tools that are used for
communication are emails and social media platforms.
 Newspapers: Newspapers are used to provide written information to the users. Active
Communication also takes place through the mentioned mean of communication.
6. The manager of the organization should proofread the document before sending the same to the
client in order to ensure that no spelling, grammatical as well as constructional errors are there in
the document (Arnold and Boggs 2015).
7. In order to ensure that the document has been received b the correct recipient a confirmation from
the repentant will be collected through either verbal communication or though phone call.

 Internal storage system: This type of storage system includes hard disks or pendrive where
soft copies of the documents are stored. This system is used by organizations that have
limited amount of documents to be stored (Fan and Taylor 2016).
 Cloud storage system: in this system, soft copies are uploaded in order to store them online.
Organization with a vast amount of documents to be stored uses cloud storage system.
9. The two major resources that are required by an individual to produce a document includes, a
desktop computer system or a laptop along with writing application like Microsoft word or
wordpad.
