MEETING REFLECTION
The date on which the meeting took place is 10th December in the year 2019. There
were a total of six companies that participated in the meeting. Each of the companies was to
define and promote the role and purpose of their organization. Furthermore, it would be
important to note that the other aims of the meeting included deciding the nature of the
project that is deciding what kind of nature the project would have and which organization
would be participating and the roles the organization would have. One very important role of
our meeting was also to calculate and decide how much fund or money we will be required to
bid for in the meeting.
The new company is going to be developed by an educational trust called the C21.
C21 is a trust that is aimed at helping and promoting new projects related to training and
educational projects for the disadvantaged communities. According to a study, the
disadvantageous communities are those that have been backward for a frailly long time now
and needs help for its progress (Daiton and Zelley 2011.). Trusts such as C21 are a great help
for the people of the disadvantaged communities to grow and prosper in life. The purpose of
the C21 trust is to promote innovative education and training solutions to disadvantaged
communities and to foster life-long learning and international mobility through education.
The award given by the C21 trust s between £50.000 and £2m and we had the responsibility
to decide how much we needed for the our startup which required us to do all the calculations
regarding everything beforehand so that we come up with a sum of money that we will be
bidding for in the meeting.
I was appointed as the chairperson of the meeting which meat that I was required to
direct the meeting in a certain way towards its goals and coordinate all the processes taking
place in the meetings. According to a study it is very crucial to communicate in a very clear
manner in the corporate field because the audiences include stakeholders, businessmen and
other very important people with whom the miscommunication will cost a huge loss (Hua

direct the meeting and I thought that managing five different people with different goals,
perspective and ideas will be difficult. However, the entire meeting went pretty well and the
task was not as hard as I thought it would be.
During the entire meeting I tried remembering the purpose of all of us being there in
the meeting also reminding myself that we are only given 20 minutes for the entire meeting to
take place. The fact that I had to speak publically and communicate well since I was the
chairperson of the meeting did not make me anxious or nervous. However, the fact that we
were being recorded and every move we take or every word we say is going to be filmed
made me a little anxious and conscious during the meeting. It is hard to be natural and act in a
way that we otherwise would in front of the camera but I think all of us dealt with it nicely.
My contribution and role also included trying to give everybody fair and equal chance to
explain and speak about their company. I asked all the participants to introduce themselves
and their company using only one sentence; this will help all of us to have a general idea
about each and the respective company each of the people are representing.
According to a study, one of the great way to start a business meeting is to put
forward the aims and purposes of the meeting in the very beginning of the meeting so that
people have the aims of the meeting in their mind and proceed accordingly (Daiton and
Zelley 2011.). I had the responsibility to direct the meeting to I started with letting everybody
know about the goals of the meeting. I read the goals of the meeting aloud and also wrote
them and after that we went through all the goals one by one smoothly with sporadic
hesitations between organizations.
One of the challenges faced in the meeting is deciding when the person has spoken
enough and to ask him to stop so that the other people in the meeting get the chance to speak

been to engage people in an effective process of business communication in the meeting so
that everyone comes to a mutual agreement. One of the best things about the meeting is that
all of the participants together came to an agreement without any confusions or any fights
which including the six in the new joint project.
According to a study, listening is first step of communication; if one does not listen
and understand what the other person is saying miscommunication is bound to happen
(Daiton and Zelley 2011.). The meeting that is being talked about is more professional which
gives an experience of real life situations than the online ones. What I noticed about my
interaction in the meeting is that I was becoming a little less confident and nervous because
of the eye contact people in the meeting had with me. I was becoming conscious of the things
I was saying or doing because was being looked at by so many people. The above issue is
something that could have been taken care in a better way.
There were no technical problems in the interaction since the interaction was Face to
face and not online. Something that I noticed about my interaction is that it was very straight
forward and to the point which everybody could understand. Due to the effective
communication and also lack of technical problems in the communication that caused the
positive result of the meeting. It was the first time that I was appointed as the chairperson of a
meeting in a professional sphere so I was satisfied with the whole experience. However, there
were certain things that like time management. Had we managed time in a better way, we
could have discussed issues like modalities with which the new company would have acted.
