Effective Communication Methods for Lee Electronics Employees

Executive Summary
Communication at workplace place increases coordinates among employees that led an
organisation to reach at their desired goals and delivery value to employees. Internal
communication which done by management to the employees provides information such as
their jobs, organisation, environment and other such organisation related updates effectively.
There are multiple ways in which communication is done by management for effective
communication with employees.
Introduction
The communication channels which Lee electronics should follow for its employees so as
they can get information efficiently and effectively is discussed in the topic below, which will
solve the issue of any communication gap in the organisation.
Analysis:
Lee Electronics has to follow various information communication methods through which
information can be transmitted easily and effectively to all employees working in
organisation. As some people prefer communication in person; for others, written
communication works best. Some of the employees regularly check their email, while some
look for internal social networking for company-related news and communication. It is clear
that one medium of communication is not sufficient for all the employees of the organisation.
In an organisation, multiple ways of communication should be followed to become sure that
communication is done to all employees. In the research below I have chosen three medium
of effective communication in an organisation (Insight, 2019).
The three mediums that will work effectively at Lee Electronics while communicating with
employees.
1. Email to all staff.
2. Article to go in the company newsletter
3. General manager presentation to staff
Email to Staff: Emails has a significant impact on the employees at the workplace as they
receive instant communication and is easily assessable from anywhere. Using email benefit
business as it transfers all kind of electronic data efficiently and effectively. Some of the
direct benefits of using email are given in the text below (Your thought partner, 2017).

The advantages and disadvantage of email communication is given in the text below:
Timeliness: Email is an effective medium to send one-way messages or two-way
interaction which can be done with one or multiple people at one time without any time
urgency. Employees can send email to different employees or to the customer which they can
read as per their convenience. When an urgent response is required email should not be
considered at the first option (Nibusinessinfo, n.d.).
Broader Work Teams: Companies can communicate with diverse work teams through
emails. The Organisation can communicate and collaborate with employees without face to
face conversation. Virtual work teams can engage in work together on same projects and
tasks, they can easily share files and software among each other and can hold virtual
meetings. Cross border communication can easily be done through email in global
organisations (Chron, n.d.).
Less Personalization: Email communication is less personalized communication
method. Overuse of email communication by employees in contacting prospective clients and
sending them conformation emails. Employees often send emails within the organisation to
interact with others which can be done personally. Immediate response is not received
through email and it includes nonverbal responses. Internal and external rapports are reduced
due to overuse of email that reduces effectiveness in communication (Chron, n.d.).
Administration: While catching up on emails managers faces many issues which led to
neglect other critical job duties. It reduces the time to coach, train and motivate subordinate.
To control this some people schedule the email reading task in morning (Business, n.d.).
For example, manager of discount electronics retail warehouse, Lee Electronics when
sending to email should communicate clearly with the subject of email defined as employee
will be able to get information about the body of email. Subject should be kept simple and
precise in this case it should be sales targets and Bonus. In the body manager should clear
that sales targets have been meet by the employees and they will be receiving bonuses during
the Christmas week.
Company Newsletter
Constant communication by organisation with their employees plays a major role in company
success. Company newsletter does the same thing by making a personal connection with

employees. Employees receive company updates about policy and other business related
information that can affect at workplace. Newsletters depending on the company size that can
be send through email or hardcopies it can be created in informal and entertaining (Small
Business, n.d.).
The advantages and disadvantage of company newsletter communication is given in the text
below:
Human Resources Information: Human resources update their policies time to time,
which can be related to insurance benefits updates, vacation requests or changes to the work
schedule. They can place their updates on newsletter as it pertains to all employees of the
organisation. The policies in HR portal should be updated before publishing newsletter to
ensure accuracy and consistency (Small Business, n.d.).
Employee Recognition: Employee recognition publically increases morale and work
behaviour. If an employee has gone above the expectations of the organisation they can be
appreciated in the newsletter which also works as a motivation factors for other employees
(Small Business, n.d.).
Company Events: Off-the clock activities are sponsored by many employers to enhance
their employee’s lives. This event creates bond among employee and the organisation as well.
This can be done by sponsoring holiday parties, games, concert or trips out of town. It can be
published in the company newsletter that builds excitement among employees (Small
Business, n.d.).
Social News: Employed feels valued if they are in the news of organisation, by creating a
social page in the newsletter where employers can share news as new staff, employee
marriages, births or other personal news (Small Business, n.d.).
Filler: company can provide general news on their newsletter about safety, health or trivia.
Company can include fun and interesting bit of trivia or provide health tip of the day (Small
Business, n.d.).
For example, Newsletter will be distributed among the employees of Lee Electronics via
email so as contained updates of organisation including the revenue of the organisation
stating the targets have been met by employees and about the bonus that it will be distributed
to employees in the Christmas week.

General Manager Presentation to staff
Presentation is preferred among mostly organisation to and leaders to communicate their
vision, progress, and plans. In an organisation the audience of the presentation is the
employees, management staff, sales operation, current or prospective customers, or an
industry group. By communicating through presentation enhances team’s knowledge and
spirit and information is given in a direct and consolidated manner which enables them to
understand business model and plan of the organisation. Presentation should be prepared in
such a manner that it should involve speakers and should be backed by facts.
The advantages and disadvantage of Presentation to staff communication is given in the text
below:
The advantages are as follows Face-to-Face; Engagement, Flexibility, Consistency,
Versatility and the disadvantages are Drain on Time, Lack of Leader (Small Business (n.d.).
The manager should discuss main topic in the room: If there is an issue, if
something isn’t working, you are experiencing a problem, and then make a mention of
whatever it is and then move on. If we hold back from discussing something important
(which may not have an impact on the meeting topic), then get this discussion done, and then
move on. If you don’t, the attendees will be thinking about that rather than the actual topic at
hand (Leadersinheels, n.d.).
For example the employee of warehouse, Lee Electronics would be waiting for the report on
their sales targets and will they be receiving bonuses or not. By creating an presentation
among the employees add personal touch to the information where manager can provide the
information of the sales report and can declare when the bonuses will be given in this case
can also mention that bonuses will be given at Christmas time. That will also enable the
employees to build confidence among each other and with their general manager.
Conclusion:
The above three methods of communication by manager will enable the organisation to reach
at the desired communication that will meet the entire requirement and solves queries of
employee working with Lee Electronics effectively. Employees can also communicate back

to the manger if they require any further assistance as this communication method is a two
way process.
