1. INTRODUCTION
Operation & Information Management used to resolve business problems which further help
manager to learn that how it works in managing and improving operational efficiency of the
organization. Basically, operations management used in the business process to design and
control the internal process of producing goods and services (Bruno, De Fino and Fatiguso,
2018). It is the major functions which linked with other process such as supply chain, marketing,
human resources, finance etc. This assignment based on CC Music which is formed by Chris and
Clive and both are work on from many years after retirement. They provide in-store or online
mode to musicians to purchase equipment. CC Music supply for education, recording studios,
rehearsal studios and also provide installing services for general public attribute and houses of
activity.'
This assignment covers the various topics such as business process model and strategy analysis.
In addition, it includes the open source software comparison which includes around 4 to 5
alternatives and another section is about the current situation of selected company and in the last
part reflect their analysis and contributed to the online elements.

2. TASK
2.1 PART A
2.1.1 Use at least 2 business process models to capture existing and proposed business process
for CC Music
Business processing modeling (BPM) is the activity which is used in business process
management. It is used to represent the current position of organizational process which may
analysed, improved or machine controlled. Basically, BPM is a graphical representation model
which is used to represent business process or workflow of CC Music. There are various ways to
represent such as data flow diagram, flow chart, business processing modeling notation (BPMN)
etc. Two BPM are discussed below:
Business Processing Modeling Notation (BPMN): It is referring to the series of standard
objects which helps in representing workflow or task. BPMN make delay between business
procedure structure and procedure execution and it characterizes as Business Process Diagram
(BPD) where flowchart method used to evaluate operation process (Chen, Su and Huang, 2018).
It helps the managers to evaluate their function in systematic manner. It is one of the BPM which
is utilized by the CC Music in order to define their event in the form of flowcharts. It includes
four main components which helps in generating amazing results such as flow of objectives,
connecting, swim-lanes and artefacts. Effective connectivity of these four components will help
CC Music band to run their activities with minimum hardship. In the flow objects, circles denote
with events, activities with rectangular boxes and control points or gateway represent with
diamond shapes. In the connecting objects, use different transfers errors and it indicate some
special flow such as association, message or sequence flow and further swim-lanes and artefacts
associated with the activity of CC Music. Main aim is to undertake different payment methods,
gateway to make decisions and formulation of packages for potential clients. It is the existing
model of CC Music Band which they used to evaluate their business process in terms of Business
Process Diagram under the model of BPMN.
Data Flow Diagram: It can be the proposed business process of CC Music and it is
founded in seventies for the purpose of showing data rather than only representing activities. At
the time of business process analysts, provide gesture to data flow diagrams where organizations
generally agree that Yourdon’s technique is dated but it has one limitation that is they focus more

on information instead of action (FALTEJSEK and CHUDIKOVA, 2019). It is different to
BPMN business process because it does not give clear mode to consider all stakeholders in the
process whereas BPMN can. CC Music has to show their business process activities along with
some valuable data which they considered to be important than they can follow this.

The current structure of CC Music is illustrated above in which they can handle their
events but above it is evident that working activities are not systematic and structured which will
act as a bottleneck for management of firm. The reason behind this is that a single entity is liable
for doing multiple things at a time and adequate solution is required through which this can be
eliminated. The bank will be liable for handling transactions but it can be time consuming
process for customers which can lead them to avoid going to event.

The above figure illustrates the new method through which customers or guests of CC
Music can make their online payments can be made. It will enable them to make online payment
as per their choice so that customer has option to choose as per their comfort levels. Here, option
will be provided whether pay by making use of credit card or by cash accordingly they will be
guided to next step and process will end. It will minimise the time of individuals and may also
lead to grab people.
2.1.2 Strategic analysis of selected organization
Strategic analysis is the research which is used to identify operational performance and
further formulate strategies accordingly. SWOT analysis help CC Music able to evaluate their
strengths, weakness, opportunities and threads. Further discussion mentioned below:
Strengths: CC music is come under one of the bands which operated in UK and done
various programs (Findlay, 2018). Use of cost-effective technology due of digital revolution
beneficial for CC music, so they can done duplication which makes final produces less expensive
as well as affordable for consumers. CC Music did their positioning in niche market to make
their customer base strong along with consumer loyalty. In addition, CC music has good
customer service.
Weaknesses: One of the biggest weaknesses of CC Music is that, they do not give any
clear vision which makes them able to formulate strategies or implement accordingly to get

success. Another weakness is competitive disadvantage because still CC Music enables to enter
the competition because of low sales revenue. Music band also has limited channel of
distribution, so they need to expand in order to make people aware about this. In addition, CC
Music currently has poor system which enable them to grow in the market.
Opportunities: Use of latest technology such as customer relationship management
(CRM) software and Enterprise resources management software helps in identifying consumer
requirement and try to satisfy them to increase their customer base. In addition, they need to hire
professional before making any decisions because it helps in making their decision more
authentic or favourable (Han-Lin and et.al., 2019). Use of Open Source Software helps in
minimising cost which is essential to implement and helps small organization to growth in the
market or get success through achieving their business gaols & objectives.
Threats: CC Music band already facing lot of threats because of increasing new entrance
and growth of small organization due to huge competition in the market. Company face loses due
to more use of internet downloading and substitute products such as MP3. Because of small
company of UK, they need to face lot of threats because of lack of resources such as finances,
work force etc. In order to get success in the market, they need to offer their services at low cost
by using digital recording and maximise their customer base through providing effective
services.
With the help of above discussion, it has been observed that CC Music need to formulate
effective strategies which helps in improving their weakness, grab opportunities and minimise
threats.
2.2 PART B
2.2.1 Open Source Software Comparison Table
The computer software for which source code is made available freely and can be
redistributed as well as altered as per needs of individuals is referred to as open source. In simple
terms, the base code is available to users who can alter it so that their requirements can be
fulfilled (Hasibuan and et.al., 2018). Owners of CC Music can have source code legally without
any kind of extra cost and is designed is such a way that it is publicly accessible. There is various
Open source software available but as per requirements of firm they can make its use by taking
into consideration various aspects (such as pros, cons and benefits which will be rendered by

them). The weakness that is being faced by CC Music is that they have minimised channels
through which they can make people aware about services as they lack usage of technology in
their processes which declines their revenue. For this, it is important to opt for different sources
through which there performance can be enhanced. Along with this, there has to be a enhanced
scheduling of events so that due to any reasons they are not cancelled which may lead
individuals to face problems. With respect to CC Music, they are illustrated below:

this because scheduling was one of the major problems that has to be handled and the asset is

that it will aid CC Music to have enhanced ERP and CRM features through this. Attendize will
provide them with mobile interface which will be easier and will grab customers but problems
related with revenue and scheduling cannot be handled by its use. Overture provides flexibility in
day to day activities but time required is more as compared to what is required by entire task.
Thus, Gig-Planner is an apt option for CC-Music to deliver their services in an enhanced way as
well as amplify their revenue.
2.3 PART C
2.3.1. Overview of current situation of CC Music along with outlining roadmap
CC Music is small organization which operated by Chris and Clive who are former music
and they worked with Northern Soul band from many years. Both are already managed many
things of bands such as playing at events, TV or radio program, studio work and parties. CC
Music band have their own websites which is used for bookings on mobile and receive cheque
payment by post (Noh, Shin and Kwak, 2019). Chris and Clive should adopt business approaches
through opening agency who are responsible for every aspect such as social media, accounts,
marketing, provide updated calendar of events, track communication with clients who wish to
book bands and manage activities who already signed with CC Music.
In the current situation of CC Music, they realise importance of technology, so they wish
to adopt customer relationship management software and enterprise resource management
software. Organization does not have knowledge that what kind of technological information
they required and how it support SMEs. Basically, CC Music required professional advisor
before making any decisions to invest in particular software. It is suggested that, CC Music
should select any of the open source software which helps in minimising overall cost of the
business process.
In order to reduce complexity of business process, CC Music should follow data flow
diagram where they represent business process along with some essential information. It helps in
maintaining entire program organized and it is used to execute the plan according to the purpose
of task. Because of lack of expertise, they need to implement some changes where they should
make their business process simple for others to understand as well as hire experts who advise
them properly (Qin and et.al., 2019). There are various benefits which CC Music band able to get
by using data flow diagram that is business process model. This BPM used to describe the

boundaries of systems, helps in communicating existing system with its users. It is easy to
recognize and provide detailed representation of the system components. It is more simple
process in comparison to BPMN and easy to understand by its users.
In the above discussion in PART, A, data flow diagram (DFD) of business process model
selected and with the help of strategic analysis identify the issues which company faces which
they required to resolve. Such as CC Music should provide proper vision, objective or goals, so
employees can perform their task or manage their work accordingly. In addition, CC Music
should adopt that open source software which helps in making their booking process easier for
staff members as well as its users. GigPlanner is recommended for CC Music because its helps in
managing calendar for events and centralized their data which can easily access by both parties
such as companies and its users itself. It is a paid software which is used for booking of events.
This open source software is beneficial for this organization because they face several challenges
regarding bookings.
Band also wanted to implement two more software such as CRM (Customer Relationship
Management) and ERM (Enterprise Resource Management). GigPlanner helps in managing
events so they separately record customer issues related with particular events. With the help of
centralised data, everyone gets informed for up-coming events and there is no requirement of
feeding data separately because it provide flexible entry field (Ruan and et.al., 2019). There is
one bigger disadvantage that is, GigPlanner is paid software so CC Music band has to pay
according to number of users. It became variable cost for the band which can vary as per the use
of this software.
Company also implement some changes where they want to follow democratic style, and
in which style every individual of CC Music band participate in the decision-making process.
By using GigPlanner open source software, Chris and Clive able to improve overall performance
because CC Music required to follow business approach to enhance efficiency as well as
effectiveness (Thomas, Deblecker and Ioakimidis, 2018). They wanted to start proper agency
who responsible for such activities such as marketing, promotion by using social media sites,
maintain business accounts, keep track their records, communicate with clients and manage all
the contracts of others with CC Music.
In order to make their business popular among their market, they need to follow some
professional as well as business approach where they need to adopt software for better

performance. Customer Relationship Software (CRM) help the CC Music to perform better or
organize the customer related activities accordingly. This software helps in managing company's
relationship with existing as well as potential customers. Main goal of CRM software is to
improve relationship between consumers and companies. CC Music required focusing on their
consumers and identifying their requirements and desires related to services. After that, they
need to work on specific requirement and in order to make it possible they should implement
effective strategies for that and make sure that it helps in converting positive leads. Initial start-
up of CRM software is costly as well as time consuming but after some time it worth it. With the
help of CRM, CC Music band members can easily access the information rather than individual
keep separate spreadsheet.
One of Software is Enterprise Resource Management (ERM) which is business process
software and it allow CC Music band to use different system. Company also can use this system
to improve or mange their data for accurate work. It is connected with different applications and
it is used to manage office functions, technology, human resources etc. With the help of ERM
software, business able to focus on IT cost, improving their reporting and planning functions,
provide customization services as per the requirement of business (Xie and et.al., 2018). In
addition, ERM provide data security, quality of work, improve workflow, customer service etc.
CC Music band hire professionals who helping to implement this software in business process or
able to maximise productivity as well as profitability.

3. CONCLUSIONS
From the above discussion it has been concluded that, operations and information
management is essential for organizations. In every business, management have responsibility to
manage their consumer's information as well as secure internal data. Business process model is
the unique way to represent their company's information in graphical manner which is very easy
to understand by its users or reduce the complexity. In addition, there are various open source
software which helps in performing their business process or minimise the efforts to achieving
business goals & objectives. GigPlanner is the most suitable open source software which
company can use and implement in order to resolve various challenges which they face.

4. RECOMMENDATION
From the above discussion it has been recommended that CC Music band should adopt
data flow diagram as business process model and further select GigPlanner as open source
software. Currently company follow BPMN business process and Data Flow Diagram is the
proposed business process for CC Music. It is simpler as well as suitable for small enterprises
which provide better understanding. In addition, GigPlanner helps in minimising challenges
which company face. It helps in maintain centralised calendar which automatically inform
everyone regarding upcoming events.

While conducting self-assessment of my contribution in online elements, I was doing
several researches regarding business process model. In addition, I was not aware about such
information and open source software but while conducting this report, I gather lot of knowledge
which improve my learnings as well as capability to understand new things. At the time of
completing this assignment, most difficult part was searching open source software because I am
less knowledgeable in the field of IT. I have to take help from others to understand and with the
help of internet I am able to complete this assignment before deadline. In order to prepare BPMN
model, I was using MS- Word software and produce this model which provide the overview of
entire business process and it is very simple to use of understand with the help of its graphics
which denote something. Although it was very expensive and complex process but I tried my
best to produce this model. Being a participant in the process of development of model, it offers
number of benefits to me as this enhance my knowledge regarding various concepts and theories
of various information systems which will help me in future. I used various secondary sources in
order to gather data or to learn about the concept of open source software. Further, I developed
this model by using MS word.
ERP is an effective system for organisation as this integrates all the major functions of
organisation including sales, finance, HR, planning, customer relations and many more. One of
the main benefits of this system for organisation as this help in bring visibility among all
business activities at the same time it helps in provide better and effective services to customers
that leads to customer satisfaction.
In this assignment I have to recommend business process model which CC Music band
used in future and open source software which helps in minimising overall cost. GigPlanner is
the recommended software which help business to face challenges effectively and make sure that
company improve their efficiency as well as effectiveness which helps in maximising
productivity as well as profitability. With help of open source software and business process
model, organisation can find an effective solution to all its organisational issues and can achieve
the target of improve profitability and enhanced productivity. With support of this company can
formulate effective solution to all the challenges and issues that it faces while implementing its
commercial activities.
