EXECUTIVE SUMMARY
In this report, a charity event is organised for Pancreatic Cancer Research UK so that they
can raise funds to help those people which are not capable to afford required treatments. Along
with it, this event is going to benefit students in meeting with employers and business people that
will enhance their contacts to sustain a desired career and futuristic opportunities.
To evaluate event primary method is used in which personal interviews are carried out.
With the help of this, perception of guests and individuals related with event planning were
collected. This helps in analysing the success rate of the event. Other than that, some skills and
capabilities are mentioned which are essential while organising an event. Without these
capabilities and skills, an event will results into failure and purpose of organising charity event
will be disrupted.

INTRODUCTION
Background to the original event concept
Event organising is an application of event management in which large scale events like
conferences, weddings, ceremonies, meetings, festivals and seminars are created. It includes
study of brand, identification of target audience, formulation of event concept, coordination of
technical aspects etc. The procedure associated with planning and coordinating event is specified
as event planning (Aghekyan, Kim and Marshall, 2012). This assignment is based on Pancreatic
Cancer UK which is a not-for-profit charity organisation headquartered in Hampshire, UK.
Organisation was founded in 2010 and majorly focuses on health policy, cancer research and
pancreatic cancer. Main concept behind this event is to raise awareness and support charity
organisation so that high funds can be raised which will be used in the treatment of patients
facing pancreatic cancer and similar diseases.
The event objectives
Providing opportunity to students so that good relation with potential employers and
business peoples will be formed which will benefit them in their career and future
growth.
Raising awareness about Pancreatic cancer research UK charity organisation and health
disease.
Raising 100£ donations for charity purpose.
The charity clients
Charity clients for this event will be university students studying in 1st, 2nd and 3rd year
form business faculty. Other clients will be business personnels and employers of other
participating organisation.
A brief summary of what happened at the event
This is a social networking event which will benefits the participating students in
meeting employers of different organisations along with building advantageous relationships and
contacts which will help students in future growth. Along with it, this event will allow
individuals to know about aims and working of Pancreatic Cancer UK in a detailed manner.
Target audience for this event will be university students of business faculty which studies
hospitality management or events. This is because event organiser has planned to work with
those mentors which are specifically from event or hospitality management. Event is going to be

organised at Moxy London Excel on 6th march, 2019. Brand colour associated with venue is
purple due to which it will be perfect for the event which is carried out for charity organisation.
The funds which will be raised will be used in treating patients suffering from pancreatic cancer
and other diseases related with pancreas.
SECTION A- EVENT EVALUATION
Evaluation methods and tools used for evaluation process
Event evaluation is defined as an activity which assists in identifying and measuring the
extent to which a particular event is succeeded in attaining its objectives. It is a vital
management function which helps in collecting information and feedbacks that results in
improvement of processes and attainment of goals. Evaluation is carried out when a policy or
plan has to formulate or a decision is required to be taken (Armstrong and Taylor, 2014).
For event which is organised to raise awareness about pancreatic cancer and Pancreatic
Cancer UK charity organisation, all the required data and information is collected with the help
of primary data collection method. Primary data is fresh and raw data which hasn't been
published in any book or journal before. For the purpose of collecting primary data, personal
interviews are carried out in which opinion and perception of individuals about organised event
were collected. This data will be specifically collected so that appropriate evaluation of event can
be carried out (Cugola and Margara, 2012). It will helps in acknowledging the success rate of
event which was organised to raise funds for charity purpose. Beside this, event will be evaluated
in accordance with the information of students which were successful in communicating and
building relation with business persons and employers.
Approach followed to evaluate event
In general there are two approaches to evaluate an event i.e. qualitative and quantitative
approach. In quantitative approach, all the collected data can be counted and quantified. Here
data is collected with the helps of number and statistical tests. In qualitative approach, gathered
data is non numerical and collected so that depth analysis will be carried out. Mixed approach
includes combination of both kinds of approaches. It will helps in balancing data collection and
in-depth analysis of an event. For this event, qualitative approach is used to collect data as it
helps in gathering contextual information due to which all required facts can be explained in a
proper manner (Forsyth, Jolliffe and Stevens, 2013).

Evaluation tool and resources required for evaluation process
To evaluate the event which is organised to raise funds so that donations can be given to
Pancreatic Cancer Research UK, evaluation tool which is used is Evaluation compass. This tool
will helps in assessing event against different dimensions which are specified below:
Planning: This organised event was appropriately planned and all important aspects were
given considerations. Objectives to organise this event were clearly explained and an
appropriate budget was formulated so that the expenses and costs can be managed in a
desired manner. To schedule the activities in a proper manner, a Gantt chart was also
developed. Unintended consequence during this event is differences in opinions of
mentors which were managing work for this event. Mismanagement of funds have also
faced in some situations (Hafeez and et. al., 2016).
Risk: Major risk associated with this specific event is over-stress to mentors and
subordinates. If event was not properly managed, then event organiser may have faced
loss of finance and reputation. In case of Pancreatic Cancer organisation, expected funds
will not be collected due to which purpose of event haven't been achieved.

Sustainability: Event was sustainable as it was organised to raise money so that people
suffering form life threatening disease i.e. pancreatic cancer can be given proper
treatment. By collecting more than 100£, this event has proved its sustainability.
Design: Event was designed in a proper manner and all the activities were carried out in a
systematic way. Attendees were given facility to buy tickets by both online and offline
mode according to their comfortableness (Jolliffe, Ritter and Stevens, 2012). Cashless
donations were also promoted so that attendees can freely donate amount. To avoid over
crowd, map have been placed at different locations. But shortage of funds have resulted
in poor arrangements at some stalls, due to which customers were not satisfied with
venue location.
Marketing: To advertise about this event, social media was used along with pamphlets
and newspaper advertisements. Due to this large number of people gets to know about the
event within shorter time period. Marketing through these methods resulted as a big
success as large number of attendees attend event.
The team: To organise event in a successful manner, individuals form event and
hospitality management are selected so that they can appropriately assists their
supervisors and mentors and all work can be carried out in efficiently manner. Due to
this, the all work during event was carried out in an organised way and desired results
were achieved (Lam and Chen, 2012).

Event finances
Event finances are projection of expenditure and income that will be incurred by an event
in accordance with formulated plan and gathered information. Finances for this charity event can
be analyses by analysing the difference between expected expenditure and actual expenditure
(Kap and Wingate, 2012).
For this event, expected expenditure was 10,000£ but actual expenditure was 9,500£. The
amount of donations collected was around 50,000£. Profit earned during this event is of 45,000£.

been managed accordingly. To manage work in an efficient manner, team were given proper
training and orientation sessions which helps them in understanding how to plan a event by
optimal utilization of resources. Due to this, all the available resources were used by team
members in a proper and advantageous manner (Kirkpatrick and Kirkpatrick, 2016). Overall
feedback response from stakeholders was positive as they were averagely satisfied with the
activities carried out during event. Different stakeholders for this event were guests, team

members of event agency, suppliers etc. Their feedback were collected with the help of personal
interview where different questions related to event were asked to them. On the basis of
responses, it is analysed that more than half number of stakeholders were satisfied with the
activities carried out during event.

Critical reflection on teamwork
This charity event is carried out to raise awareness about Pancreatic Cancer Research
organisation and collection of fund for charity purpose. I believe that this achievement would not
have been possible without the organised and systematic work which is carried out by team
members. According to my observation, due to involvement of skilled and capable individuals
different alternative for a single problem were given. This has resulted in choosing best solution
for faced problem. I feel that due to appropriate training given to team members, stress and
pressure were shared and all the event became successful. I have assists other team members in
preparing a time schedule which helps them in understanding the amount of time they can invest
in a particular activity but still time mismanagement was faced.
I believed that this was due to lack of proper guidance and direction to team members.
Mentors were not paying attention towards the issues faced by teammates due to which quality
of their work deteriorates. I also feel lack of professionalism during teamwork as every team
member were trying to perform their work on an individual basis. Feedback generated with the
opinion of team members assists me in understanding the issues and problems that can acts as a
barrier in the success of event. I help team members in resolving them due to which all the
activities performed by team members were carried out in an appropriate manner.
Critical reflection on my performance
To critically reflect performance of an individual, kolb's learning cycle is a good model
which can be implemented to achieve desired outcomes. This model treats reflection as internal
part of learning and evaluating own performance. It include different aspects which are stated
below:
Experience: My experience while planning this charity event has helped me in
enhancing my overall skills to organise and manage events. My colleagues considered me

as a hard worker as I posses capabilities to deliver best performance in difficult and
changing situations. It was a big event but I have performed every allotted task in an
efficient manner without showing any sign of stress in my behaviour.
Observation and reflection: As I possess good organisational and communicational
skills, I have observed each and every activity in a proper manner. I make sure I must
communicate with every concerned teammate before taking any decision so that
appropriate decisions can be taken within right time. To organise time, I have divided by
activities and operations into small sections along with specifying time for particular
activity so that all work can be managed in a timely manner. I feel that my work ethics
are high due to which I am well suited for coordinating work and assisting other team
members. But I faces issues in solving grievances of teammates due to conflicts of ideas
and thoughts. As I am new in this field, I also lacks experience in multitasking due to
which in some situations I feel difficult to manage activities that were colliding with each
other.
Development of ideas: Without developing ideas and new concepts, it is not possible to
organise an event which will gain wide appreciation. Before start working on this event, I
conduct a proper research about Pancreatic Cancer Charity organisation and their aims
and objectives. This helps me in designing strategies and theme according to the purpose
of charity event. To manage funds I have calculated ROI so that money can be spend in a
manageable manner. To popularise charity organisation I have prepared large banners
and boardings.
Testing ideas in practices: Carrying out research benefits in understanding how much
amount I need to invest for different activities. Calculation of ROI helps me in
impressing sponsors and investors to invest in this event. Idea of preparing big banner
and boarding was also successful as attendees contribute large amount of donation.

properly, effective skills and capabilities are needed. These skills will enhance the working
productivity of an individual which assists in achieving desired career growth.

While managing this event, shortage of fund was faced. To overcome it, more
sponsorship and investment can be attained by appropriate event planning.
To eliminate ideological differences, regular meetings should be conducted where
required discussions can be carried out.
Mobilizing network will helps in resolving issues that take place due to shortage of raw
materials and resources.

To improve my contribution within an event, I require to negotiate more with vendors so
that resources can be purchased in less amount and finances for event can be maintained.
I need to manage stressful situation in a simple manner so that my team will feel
motivated while performing their work. This will enhances the overall working

By adopting versatility, I will be capable to perform a single task by several methods due
to which best alternative can be chosen that will be advantageous while organising event.
