request is routine when (1) you are not asking a special favour, and (2) you expect your request to be
accepted. In a routine request, it is not necessary to try to persuade your reader because saying ‘yes’ to
your request is a routine part of your reader’s job.
A non-routine request needs to be persuasive and needs to include more support and details.
In order to write a polite request letter, the following guidelines for language should be followed:
Guidelines The language of requests
1. In the first or second sentence, make sure
that you put the main point or subject of the
letter. This will draw the attention of the
reader immediately. Add any further details
for the reader later in the letter as necessary
in order to complete your request.
Here are some ways that routine request
begin:
I am writing in response / regard to .....
I would appreciate .....
I am interested in finding out .....
I recently read an article / saw an advertisement
regarding ...... and I would like to know /
receive ....
I am writing to request .....
2. Be polite in the language that you use but do
not use too descriptive or over-elaborate
language.
Here are some phrases to state a request:
I would appreciate it if you could / would .....
Please send me this information as soon as
possible.
Could you send / give me more information
about ..... ?
I would appreciate receiving .....
3. You should consider your style of writing
when you are drafting a letter to someone in
another culture. This is to be closer to the
tone and formality of the writing in that
culture.
4. Say exactly what you want and be specific.
5. Your closing should have a friendly tone in
the last paragraph.
Here are some ways to close the request. The
last sentence does not have to be long.

I look forward to receiving this information.
