Introduction
VUISC is one of the consulting firms located in the Footscray, Victoria. VUISC is carrying
out the business operations over several years. The enterprise is currently having a large number of
employees which include the help-desk staff, software coders, software tester, technical writers, and
software trainers. The enterprise has appointed a technical staff. The technical staff are specialised in
system installation and professional development. The enterprise also caters project management
services as well as information systems consultancy. They have numerous clients. The clients offer
tasks to VUISC and they prepare project plan based on the project deliverables. VUISC prepare plans
for the clients and help them in conducting the business efficiently. eFashion is one such client of
Australia and they run the business. eFashion wants to setup a SAP Business Online in their premises.
VUISC will offer best solutions so that eFashion set up the system in their premises and improvise the
business.
The project manager of VUISC is working for VUISC nearly 4 years. The project manager is
responsible for preparing a project plan. The project plan will consist of the activities related to
implementation of SAP Business One. The project manager will then assess the skills and the
expertise of the stakeholders and will appoint for the project. He will prepare a list of stakeholders and
resources for the project and will include it in the project resource sheet. The project budget is also
included with the project. The project manager will allocate budget for every project activities. The
stakeholders who will work for the project will have detailed knowledge of the entire project budget.
eFashion can acknowledge what will be the price they will have to pay as a whole for the project. The
paper will elaborate the project plan, the resource sheet in details.
Project scope
VUISC is the consulting firm based in the Footscray, Victoria. VUISC has several staffs who
work for the enterprise. The stakeholders having different job roles work in the company. The
stakeholders are the software coders, software testers, technical writer, and technical trainer. VUISC
also appoint supporting staff to provide assistance to the customers or the clients. The supporting
staffs consist of the help-desk staff and the technical staff. The technical staffs have been appointed
for system installation. VUISC has several clients and eFashion is one of them. eFashion wants to
implement SAP Business One to improvise their business. The Primary objective of project manager
of VUISC is to develop a project plan for the implementation of the SAP software.
The project plan will consist of the following primary objectives, the primary objectives of
the project are project scope, detail analysis of software requirements, software design, software
testing, unit testing, integration testing, training, documentation, pilot, deployment and the post
implementation review. Each primary activity is associated with the quality testing. The quality
testing will assure that the project will be the successful one. The entire SAP software is expected to
complete within the time period of 3 months.
The project deliverables have been elaborated in the project plan.

Project manager along with the management staff will determine the scope of the project,
after that they will define the preliminary resources of the project. At the end the project scope quality
will be checked. In this way the management staff can confirm that the deliverables are ready for the
project and the project will be delivered on time. In SAP Project analyse phase the budget of the
project is prepared, after that the detailed project specifications and the budget are reviewed. Here
also, the management staff analyse whether the project manager measures the quality of the project
and measures whether it will be completed within stipulated budget or not. In the above phases the
management staff measures whether the project is being carried out following the project
methodologies ethically and efficiently.

In the development phase the quality of the SAP software is checked whether the project is
meeting the quality or not, whether eFashion will find the software suitable for their business or not.
Later on the testing of the software has been reviewed whether the software has met all the
requirements or not. Again, the testing of the software will confirm that the software is meeting the
clients’ requirements and is crossing all the hurdles.
Business case
The SAP software implementation will provide them several benefits out of which only six
benefits will be defined in the project-
i. Competition - The SAP software will offer them the competitive edge, the SAP software
will facilitate eFashion’s business and will make fast and effective. eFashion can be able to evaluate
error-free results.
ii. Collaboration – eFashion has several departments, the SAP will keep them integrated. The
employees can be able to communicate with the customers.
iii. Cost-effective- The SAP software will offer the cost-effective service and eFashion will
not have to pay heavy for installing extra hardware and software resources.
iv. Mobility – The data will be stored in the central database and the data can be accessed
from anywhere and from anywhere and any devices.
v. Productivity – The software will make their business fast, so certainly eFashion can
enhance their market share and productivity.
vi. Customer service – They can serve the customers 24x7 and can assist them in need.
The SAP software has several disadvantages and they are-
i. Training- The eFashion is not equipped with the latest software. They will have to appoint
trainer who will train them to use the software. eFashion will suffer initially however, they will gain
benefits in mere future.
ii. Data breach – There is chance of data breach. The hackers can hack eFashion software
and hack the most appropriate data of the enterprise.
iii. Integration issue- The SAP software may not get integrated with the existing hardware of
eFashion and thus issues may arouse.
iv. Maintenance issue- The SAP software requires regular maintenance. eFashion will have
to spend heavy for regular maintenance of the software.
Project Schedule and Approach (Rollout strategy)
The project contains the list of activities that must be performed. The project will take almost
a year to get completed. The project is expected to start by the 21 May, 2018 and the project will
complete by 10 April, 2019. The project plan contains the project dependencies as well. The
stakeholders can know what task needs to be conduct first, what needs to be conduct and so on.
The project consists of the following major activities that need to be performed. The first
major activity is to understand the scope of the project. The activity will require about 29 days. The

analysis of the SAP project will require 45 days to complete, the designing of the SAP Project will
require about 26 days. SAP software is expected to develop within 35 days. Testing comprises of two
phases- one is the unit testing phase and the other one is the integration testing phase. The unit testing
phase will require 26 days while the integration testing will take 27 days to complete. Training will be
provided to eFashion employees so that they can access the Sap software with ease.

SAP Business One Development comprises of the following risks that must be addressed. The
following risk register will help them to understand in details about the risks that can occur.
The SAP Project can struggle or can fail due to the following reasons-
i. Lack of top management commitment to the project: The project manager and the
stakeholders of VUISC are responsible to complete the project. Their casualties can lead to project
failure. They must be careful all the time.
ii. Misunderstanding of the requirements: The project manager may fail to understand the
requirement of eFashion and thus can prepare software which is not useful for eFashion.
iii. Not managing the change properly: The project will be changed multiple time s during
the course of development. The client, eFashion will change the deliverables of the project as well.
Therefore, all the changes should be documented and must be reviewed from time to time, it will
ensure the success of the project.

iv. Lack of effective project management skill: The project manager is responsible to
appoint the best person for the project. If the stakeholders are not skilled enough or if there is lack of
resources for the project then it may happen that the project will fail. The project manager will have to
allocate the resources and the stakeholders for the project.
v. Failure to manage eFashion expectations: eFashion with the aid of SAP software will
conduct the business online. It is the duty of Coder to design the software according to the demands of
eFashion, if the software has flaws and issues then the entire project will fail and VUISC reputation
will suffer. eFashion must be clear about the requirements of the project and the project manager of
VUISC must develop the software following the requirements strictly.
vi. Real-time performance shortfalls: The project is bound to be completed within
stipulated deadline and must be completed within stipulated budget.
vii. Gold Plating: VUISC coders can invest a lot of time in gold plating the software. The
software, however the coders must focus on usability and functionality of the software so that
eFashion can get the maximum advantage.
viii. Security encryption: If the software is not encrypted properly, due to lack of security
features there is a risk of losing the financial data and confidential data.
