Questioning Assessment

You will complete questions for purposes of formal assessment as per the questions outlined in the questioning record below, and
any additional probing or clarification questions required by the assessor.
The Knowledge Activity is designed to confirm your competency for all the required knowledge in the unit of
competency.
Task Details
There is no restriction on the length of the question responses or time restriction in completing the
assessment.
It is anticipated that the assessment will take approximately 4 hours to complete.
The assessment may be re-attempted on two further occasions (maximum of three attempts in total). All assessments must
be resubmitted 3 days within receiving your unsatisfactory grade. You must clearly indicate “Re-submission” on your
resubmitted work.
You must complete all questions unassisted by the assessor or other personnel but may refer to reference
material as may be needed.
All questions must be answered satisfactorily for the assessment to be completed satisfactorily.
For any assessment conducted that is incomplete, or without satisfactory performance, the assessment will
need to be completed again after further training support. This may be simply to focus on question areas not
achieved in the prior assessment.

Task 2 – Performance and Skills Assessment
General instructions
Scenario:
You have been working with a marketing company, Molly’s Marketing Maestros for the last
6 months. Since you started, you noticed a real lack of collaboration and innovative idea
sharing within the workplace, a vast difference from your previous role with a much smaller
recruitment agency. The office is very stark, with high dividers in between each work station
making it very difficult to have any sort of discussion with a colleague. The meeting rooms
are also small and don’t have any whiteboards or screens or projectors.
Your manager has noticed the same thing and has asked you to lead a project of making some
changes to the office. He wants it to be a collaborative effort with the other team members
but wants you to drive it.
This activity has 3 parts:
Part A – Team Set Up
Part B – Project Plan and Actions
Part C – Supporting Team Members
Part D – Reflection
Part A – Team Set Up
You are part of the campaigns team which is made up of you and 2 others. You can also
bring in 2 others from the office to assist and be part of this project. Your first task is to set
the direction for the team, to understand how you can all contribute and determine who else
you need to get into the team. You want to also work out how to get the most out of each
member.
1. Write a short statement outlining what the team needs to achieve. (50 words)
The main objective of the team is to create a new working environment that
facilitates innovation and provides huge space for creativity to emerge. The team
has to redesign the complete infrastructure of the office, as it should provide an
open space, which will offer the employees with the much-needed freedom to
innovate.

5. It is important that each of the team members is motivated and interested. List 3
incentives or rewards that you can offer to stimulate and motivate people’s creative
and innovative juices.
The three rewards which will be offered to the team members are –
 10 percent bonus with their salary.

Part B – Project Plan and Actions
Now that the team is together and you all understand what the project is and how each
member can contribute, it is time to decide on what the team will do.
6. Jointly establish ground rules on how the team will work. List the ground rules in the
following space provided below (at least 5).
Some of the main objectives which the team has to fulfill for developing a smooth
working relation is –
 Communicating on a regular basis to leave no room for confusion.
 The driving force for each member has to be creativity and innovation.
 All the processes and activities have to be conducted in a set budget, which
also requires regular monitoring.
 In the case of the conflict, the team leader has to step in, to find the most
effective solution.
 Every team member will be offered with adequate freedom to work freely
on the task assigned to them. Thus, the team member has to continuously
motivate each other.
7. As a group, brainstorm all the ways you can create a more innovative and
collaborative workplace. Come up with a list of at least 5 ideas. Select and describe
3 that you all agree to implement. Describe what each idea is and how it will
contribute to a more innovative and collaborative workplace. (30 words each)
The five ideas that have been finalized are –
 A circular workplace.
The main aim of developing a circular workplace is to foster cross-
disciplinary communication. With this approach, the different department
will gather at the center of the office structure to communicate about the
various projects, the project updates, the new strategies and many more. It

 An adaptive workplace.
Stiff and stark surrounding forces employees to work in a similar
environment. Therefore, it is crucial that an adaptive working environment
should be developed. With an open garden, a fun canteen, and a game room,
an office can offer employees with different spaces to discuss important
topics. This will enhance the level of innovation in the organization.
 Adding natural elements like plants and bonsai trees in the office.
This has been proven that the level of innovation increases in a workplace
with natural elements and also, helps in improving the health of the
employees (Scherer, 2017).
 A gym.

8. Describe how you narrowed the list down from 6 to 3. How was each idea challenged
and tested by the group and how did you come to an agreement on the final 3 ideas?
The team has various different ideas which we wanted to execute but with the
limited availability of space and also, the different preferences of the employees,
the team finalized few ideas and then, conducted a survey with the employees of
Molly’s Marketing Maestros. The team wanted to implement only those ideas
which gets the highest support. Thus, the survey helps in narrowing down the
options.
9. As a group and based on the key contributions from Q3, divide up and come to an
agreement on who should take responsibility for the key project areas. You must
include the following and any others that are specific to your project.

The different activities which have to be included to contemplate the various activities
which have been finalized for the project are –
 Comparing the design with some of the top most innovative workplaces in the
world.
It is crucial for the organization to understand the different approaches which have
been taken up by some of the most successful companies in the world to increase
the level of innovation. For instance, the approach of a circular office with different
apartments being provided with their own space and discussing the main issues in
the center of the office has also been adopted by the organization BMW. Therefore,
by analyzing the approach of BMW, Molly’s Marketing Maestros team will
understand the real potential of this idea (LOMBARDI, 2014).
 The addition of a playroom in the office should be analyzed in-depth, by examining
the impact of the playroom in the organization’s productivity at other organizations.
 The addition of a gym. The team can utilize the knowledge of different scholars to
see the impact of a gym in a workplace on employees and innovation.

Part C – Supporting Team Members
So far so good. The team has generated some great ideas, everyone is collaborating well, you
have an action plan and everyone knows what they now need to do. You want to ensure that
you maintain the momentum.
12. Describe 3 ways that you can model behavior so that you can support the team’s
innovative practices (100 words)
The three innovative practices which will help in maintaining innovation are –
 By maintaining efficient and effective communication.
With the help of effective communication in a team, there is a transparent
environment, which also helps in maintaining the level of innovation in the team.
 By continuously offering rewards and recognition.
With the help of continuously offering rewards and recognition to the
employees, the team will be pushed to improve their level of productivity,
which will help in improving the level of innovations amongst the
teammates.
 Reducing the level of Bureaucracy.
It is important to reduce the level of bureaucracy in the working
environment of the team, as it does not offer each teammate with the
freedom and opportunity to express their opinion and thoughts. This results
in reducing innovation amongst the team.

Part D - Reflection
15. Reflect on the team’s performance. Write a 250-word report addressing the following

 How did the team perform in general?
 How did the team communicate?
 How did the team come to agreements?
 Was there sufficient and rigorous discussion?
 Do you feel the team got the best outcomes in the most effective way?
 What are the challenges of being innovative?
The team performed extensively well. It was due to the efficient and effective
communication standard which was developed within the teammates. The teammates
communicated their ideas and opinion, which were deeply and critically analyzed to
examine its effectiveness in enhancing innovation and employee’s productivity in the
organization. In the process of analyzing different ideas and suggestion, there were few
disagreements. In such a case, the idea was analyzed by taking into account the top
successful organizations that have utilized the same idea and its impact on the
performance of the organization. The weekly discussion on the financial aspects and
also, to discuss the monitoring process, offered opportunities to discuss any hidden risks
and other crucial matters. Thus, with the weekly meeting, there was more than sufficient
discussion amongst the teammates. In my opinion, with the working environment which
was followed by the teammates and the estimated budget and time, the team was able to
attain great outcomes in a way that was extremely effective. The approach of the
organization to develop a transparent working environment helped in making a better
decision and also, the facility of offering each teammate with the freedom to express
themselves openly helped in identifying different aspects, which otherwise would have
been ignored. The biggest challenge of being innovative is a set budget.

The team will celebrate by throwing a party, which will include the complete office and
other staff. This will be conducted in a wine yard, with great music, food, and some fun
activities.
19. The project has been a success. Your team has successfully implemented the ideas.
Your manager and all the office staff are happy with the changes and the work
environment feels much more creative, innovative and collaborative. As the project
leader, draft an email that you will send to all the staff informing them of what has
happened, the effort that has gone into the changes and the final result. Also, invite
all the staff to the celebration you have identified in Task 5 above. Use the email
