Review of the stimulated workplace
Pitstop Company has experienced a vast change in the overall structure as it has
transitioned from a one store organisation earlier to the multiple stores organisation now. The
transition has been very challenging for the company and adherence to WHS plans has been
made mandatory for the company. As it was identified in Assessment 1, the AZ/ NZS 4801
standard was identified as appropriate for the compliance by Pitstop Company. This standard
will help in ensuring that the health and safety of the workers is not compromised with and the
knowledge related to hazards and risks is properly communicated (Potter and et.al., 2019). This
standard is an effective measure of ensuring that the multiple locations at which the workforce of
the company is operating are safe.
Discussion on requirements of WHS Plan
In order to ensure proper integration between the organisation and the workforce regarding
the applicability of the standard, there would be some basic requirement of the plan. All the
possible hazards in the workplace need o be identified and minimised where sanitation, security
equipments are some of the major requirements that need to be addressed (Furci and Sunindijo,
2020). The next aspect is compliance and here, employees of Pitstop need to be made understood
that the compliance ot this standard is for their own safety, performance monitoring is the thirds
major aspect where it will be monitored that whether the standard applicability is being complied
with or not and last is the system implementation where after positive results and monitoring, the
standards will be applied in the entire system.
Role Play on meeting with BOD and Senior Management
Communicator (C): In order to plan adequately for WHS standard AZ/ NZS 4801, there will be
requirement of particular software’s for tracking the compliance and the data of all the
employees will need to be synchronised so that maximum results can be derived.
BOD: Okay! How do you plan to implement such software and manage risk as well?
C: The risk associated can be managed by developing proper educational or information manuals
and safety equipments will be handed out. The software can be developed by taking help from
the professionals who can understand our requirement and then develop them accordingly.
BOD: And what is the compliance guarantee? How will you ensure this?

C: This can be ensured only by making employees understand that this is for their own safety
and they should always prioritise their lives first.
BOD: How will you measure their performance then?
C: This will be done by maintaining proper biometric systems and sensors that will record the
data on a daily basis that whether the safety equipment was wore or not etc. It will also be
observed which employees are conscious about the different hazard avoidance roles that they
have been assigned etc.
BOD: Can you describe some key points of the plan that is to be formulated?
C: Firstly key policies and procedures will be developed and the activities will be identified
followed by imparting adequate training to the employees. Then a timeline for completing the
plan will be ascertained and targets will be set according to which performance will be measured.
Plan, containing outcome and consultation
There is a requirement of a lot of planning which needs to be done so that the
organization can meet the WHS targets which is by training the employees and making a proper
communication with them so that there is a better functioning in the organization. After this
comes monitoring and the accountabilities they all have in the organization so that the timelines
can be met and targets can be completed in the organization. There are limited resources in the
organization which have to be used accordingly so that there is a better functioning in the
organization (Goode and et.al., 2018). The policies are going to be followed in the organization
which are recordkeeping, safety procedures, etc so that the employees can feel comfortable in the
organization. They will also be involved in the decision making which is going to help the
organization to have a better functioning for them.
The outcome of this is that there is going to be a strong workforce in the organization
which is going to make the functioning of Pitshop organization much better. The internal
environment is going to be healthy which means the productivity is not going to fall and so will
the organizations be able to satisfy the customers and make profits in market. The plan is also
going to highlight the management system of the organization and the areas which are integrated
in the organization to have a better understanding of Pitshop business.
Risk assessment and control procedure
There is a lot of controlling which needs to be done in the planning which is not using the
resources a lot and utilizing what is being used in the organization. Another risk assessment is

that there can be budget factors which can make the functioning of the organization have a lot of
limitations for the performance in the market. There is a requirement of a lot of professionalism
in this process at the same time friendly environment which is a limitation for the procedure to
be followed in the organization (Lo, 2016). There has to be minimum risk which has to be taken
by the organization and get improvement in the organization so that there is a better functioning
in market.
The procedure which can be used in the organization to improve this factor is that there
has to be a performance evaluation in the organization from time to time so that there is a better
functioning. There has to be a 360 degree evaluation as well where the training which is being
given to the employees is being used effectively in the organization so that the profit margins of
the organization can improve. Feedbacks are taken by the employees as well so that there is a
better functioning and the internal environment of the business can remain healthy. Measuring
and rewarding the employees is going to be a great factor for the organization so that there is a
better functioning and the company will be able to improve their standards in market.
Action Plan
Specific Activities: Biometric punch in will be developed for every time the employee wears
safety equipments or adheres to the safety policies developed. A register will also be maintained
regarding the compliance to such standard (Regan and Fettell, 2017). Training regarding the use
of software will be given and proper communication channel will be developed for consulting
and communicating all the relevant details. In order to monitor regularly, safety audits will be
conducted and registers will be maintained.
Responsibilities: The major responsibility will lie with the project coordinator and different roles
will be assigned on the basis of capabilities such as software manager, equipment manager etc.
All will be accountable to project leader who will be further accountable to BOD and Manager.
Timeline: The entire plan will be implemented within the next 6 months approximately.
Targets: The target is to ensure 100% compliance to the standard and make employees
compatible with the practices that need to be adopted under this standard.
Resources and estimated costs: The resources mainly required will be human resource, technical
resource and the financial resources for the implementation of the plan successfully (Brooks and
et.al., 2019). The budget that can be estimated is as follows:

Areas of Integration: The database management of all the employees available with HR and the
integration with the operation team as well as IT team will be the major integrations that will be
entered into.
Discussion on Implementation
In order to implement the plan that has been developed effectively, it is necessary to arrange a
meeting with Wollongong manager so that any changes and flaws in the plan can be highlighted
and accordingly modification can be made (Williamson and et.al., 2018).

C: We have developed an appropriate plan as per the WHS standards for your workplace. Please
review it.
W M: Please highlight the key points.
C: The main reason why this plan has been specifically developed for ou is that the major
number of incidents that have occurred is in your store and this plan will ensure that these are
minimised through strict compliance.
W M: What will be the procedure?
C: Mainly these software and equipments will be installed at ypur store and then adequate
training will be given to employees regarding its compliance. Later they will be regularly
monitored.
W M: Highlight some key features.
C: The compliance recording will be in the form of registers and proper audits will be conducted
from time to time.
W M: Rather than manual register, I want some online method of marking entry so that no
interference can be there.
C: Okay the employee data base can be used to mark electronic compliance records.

Adjustments in the plan
There will be additional software that will mark the compliance of the employees and give them
rating as well similar to attendance marking software. This will be implemented very cheaply
due to minimum cost requirements.
