4 INFORMATION SYSTEM Part A Introduction Background Information The report is used for the description of the case study of the ‘You Can Fit In’ organization. The organization owns a number of branches across the whole of Australia and the company is planning for further expansion in the field by deployment of a new Supercentre at Gold Coast in the State of Queensland. There is future planning of deploying the expansion across the other cities such as Brisbane as well. OnAllAccounts, a popular accounting package is currently in use by the organization for the management of the receivables, payables and the general ledger for the company. It is believed that the new supercentre would be requiring a new information system for the development of the newer operations deployed by them. An IT firm named Gates to the job has been hired and Nina Stay has been appointed as the consultant for the organization who would be monitoring the development of the new information system. Organizational Chart Adam Apple is the CEO of the organization, who is assisted by three managers, Donald,thefinancemanager,SallytheSalesandMarketingManagerandChiathe operational manager. In addition to this, there are 13 managers for the each of the centres of the organization. in addition to this there are a number of employees associated with different centres of the company. The organizational chart of the You Can Fit In organization has been described below:
5 INFORMATION SYSTEM Business Functions The main business functions performed in the organization are mainly done in the Microsoft Office package and products such as the Word and Excel are used extensively by theorganizationfortheiroperations.TheMembershiplistsandthewordprocessing procedures are currently performed in the organization. In addition to this, each of the centre of the organization employs a number of employees and the staffs are required to handle a numberofproceduresthatattendingtheshops,cleaningandtheaerobicsandyoga instructions. The company also provides a large exercise area along with the equipment that are state of art along with facilities such as swimming pool, sporting goods shop, health food store and snack bars. System Vision Document Problem description The OnAllAccounts Accounting package is used by the organization currently for the management of all the accounting related processes of the organization. The main problems identified for the current system in the organization, is that there is a considerable amount of increased size in the organization and there has been increased amount of complexity for the new operations. There are basic services provided by the current system, however there is absence of child-fitness programmes as it has been intended here. In addition to this, online access has never been offered to the organization and there is a need for the web-based access which is to be available on 24/7 basis. The basic membership level used in the system also requires proper categorization, such as basic members and full members. In addition to this, there are a number of options that the customers would be able to do but there is currently no facility that would be able to capture the body mass of the people doing certain activities.
6 INFORMATION SYSTEM System Capabilities The new information system developed for the You Can Fit In organization, would provide automated solutions to various processes of the organization. The capabilities of the new information system developed for the organization is described below: ï‚·The system would be able to provide the organization the ability to store all the data at a single datacentre. ï‚·The system would help the organization in mitigating the conflicts that are taking place within the company by providing an excellent mode of communication facility within it. ï‚·The system would be able to measure the Bod mass index of the customers who are enrolled into the system and perform different type of tasks in the gym. ï‚·The system would be able to integrate with the social media and help the organization in spreading their advertisement via the media. ï‚·The system would introduce swipe card into the organization which would help in keeping track of the check in and check out time of the users. Business Benefits The primary benefit that the new information system would provide to the You Can Fit In organization is that they would provide the organization with an opportunity to enhance the process that would assist the user using the system to gain information about any type of task that is to be performed in the system. The system would provide the most appropriate and actual data to the users, and additionally the data to the users would be delivered in the format required by them. There are other benefits such as scalability and ability to expand as the supercentre would be storing data of a larger amount than that of the previous centre that the organization held.
