INTRODUCTION
Project management and operations is wider and broader range of concept which require
proper knowledge skills and knowledge (Asadi, 2018). The project management comprises of
methods, skills, experience and other procedures in order to achieve project criteria and deadlines.
Main aim of this report is to understand the project management and operations processes. In order
to achieve objectives, project manager as well as other individual play important role. This report is
based on post graduation ceremony by Manchester through using of plan management within 3
months. This report comprises of project description, project scope, assumptions, constraints,
project roles and responsibilities, responsibility assignment matrix, WBS and Gantt Chart, time
management plan, cost management plan, communication management plan and risk management
plan.
MAIN BODY
SECTION 1: Scope Management Plan
1.1 Project description
A project refers to well written document that includes elements on the basis of which goals
are accomplished. A project comprises of objectives, aims, time line and other activities which take
place. The university of Manchester is implementing as well as organising, convocation event
which is to going to be placed for two consecutive days. Thus, various types of objectives in this
project are mentioned as follows-
Project objectives
To meet the event goals in successful manner.
To meet up with target budget which is £7000.
To maintain and manage the risk of projects before the execution date.
To access SMART approach to complete the project within time period.
1.2 Project Scope
The project scope is essential which is to be examined properly. In this project, it includes
and focuses on successful graduation ceremony for 650 students within a limited budget and within
time period of 3 months. The main aim of this project is to successfully organise a event with
appropriate use of resources (Baynal, 2018).
1.3 Assumptions

In a project, it is important to focus on the adaptions because these helps in achieving of
appropriate positive results. It is essential to focus on development assumptions of project so that
strategies are implemented in proper manner. So, University of Manchester uses different
techniques which are highly effective and assist in project completion.
1.4 Constraints
In this project, it states about risks and restrictions and the way problems are solved. Also,
it is seen that constraints are important for project as they help in accessing of completion of
projects. Different type of constraints are mentioned as follows-
Financial constraints- These are those type of constraint which focuses on obstacles that
comes in between objectives. It is a type of factor that focuses on restriction of amount of
or quality of investment options (Bevilacqua, 2018).
Time constraints- It is also another important constraint that focuses on completion of
project or deadline of a project. In this project, time constraint is important which has been
focused at appropriate level.
Human resource constraint- In this project, the HR constraints are limited to particular
number of shareholders. It is essential to focus on development of HR constraint so that it is
easy to achieve goals of project in correct way.
It is critically important to focus to be aware about constraints so that project decisions are
being undertaken in most correct way. It is further analysed that project manager is required to have
proper information about constraints so that resources are being used accordingly.
1.5 Project roles and responsibilities
Roles and responsibility in a particular project is essential which is to be fulfilled in proper
manner. Also, manager of project is responsible for handling and completion of accessing to all the
risks, functions, roles that they are executed in well organised way. So, in this project Ian Thompson
is project manager, Sara Jones is communication manager, Peter West is Project finance manager.
The project roles and responsibilities are major part of project without which it is not possible, to
access positive outcomes (El Yamami, 2017).
1.6 Responsibility Assignment Matrix
RAM which is also known as Risk Assignment Matrix and it refers to involvement of people
and other participation of organisation into deliverables of project. This RAM is mostly used by
program manager with purpose of fulfilling all the roles as well as responsibilities.

Responsible- It is important component in which it includes people that focuses on
completion of given projects.

examined in project, every individual is being assigned with different roles as well as

1.7 Project Work-breakdown Structure (WBS)
It refers to segmentation of tasks into small and simpler form with aim of achieving goals.
With help of WBS it is easy to organise every activity in systematic way. It is to be considered as
most appropriate tool which is used by project manager (Khosiin, 2020). In context of chosen

tool, it is easy to execute the activities in systematic way. To use this tool, appropriate type of
knowledge and skill is needed. Main benefit of using tool is that it helps in accessing of effective

4.1 Project stakeholders
They are those people or supervisors who take interest in project completion and execution.
Stakeholders are major parties that take decision in proper manner. Also, it is essential to focus on
project stakeholders so that conflicts do not occur. Stakeholders play crucial role in research
projects because they are one who assist in development of other procedures as well as processes.
4.2 Stakeholders communication plan
The stakeholder communication plan is important which is to be established in proper
manner (Müller, 2019). With use of this plan, it is easy to make effective decisions within a event in
specific manner. Furthermore, appropriate type of correct knowledge is necessary so that planning
process is being executed in well organised way. In this ceremony, stakeholders have interest which
is further discussed below-

that it is easy to achieve positive outcomes. Also, it is analysed that it is crucial to use these plan so
that proper decisions are taken.
Section 5: Risk management plan
5.1 Analyse risk identification, analysis & action plan
Whenever projects are initiated problems, risk are tend to arise. Also, it is analysed that it is
critically important to identify the risk and provide appropriate solutions. Different types of risks
are involved with this project such as deadline, performance based, information gathering etc.
Identification: This is first step in which it focuses on identification of risks in event
project so that better output is achieved. In this project and event, risks have been identified
and project is being carried out with use of effective strategies (Pasaribu, 2019).
Assign head- Once risks has been identified, it is now essential to focus on pass risks to
head of department of team so that they are solved properly. It is necessary to divided the
tasks and allot to different people so that goals are accomplished within a time period.
Prioritizing- In this step, it focuses on which risk is more important and which is to be
completed or resolved first. With proper analysis, it is easy to do prioritizing.
Analysing- This focuses on analysis of risks and the forwarding or classifying them into
different category. Through analysing of risk, it is easy to make proper decisions (Sharon,
2017).
Follow Up- It is last step in which it pays attention on follow up actions and examine them
properly so that risks are reduced appropriately. These actions are crucial to be used in
effective manner so that risk do not occur in future period of time. D
So, from above discussed risk identification steps, it is seen that it is essential to scan
environment so that risk are being properly identified and analysed in efficient manner.

It is type of matrix which focuses on minimising and reducing of possibility of risk with
aim to increase project performance. With context of post graduation ceremony, using of this matrix
leads to executing of activities in proper manner. With consideration of this matrix, it is easier to
complete the requirement of event in successful manner (Shofyan, 2018).
Therefore, it has been analysed that it is essential to focus on risk within a project so that
goals as well as objectives are achieved in proper manner. Moreover, it is too specified that it is
duty of manager to use the risk matrix with proper manner.
CONCLUSION
After a brief analysis of above report it has been concluded that project management is
important which is to be carried out with out proper considerations. So, discussions have been made
about project management, RAM, WBS and Gantt Chart. Further, risk management plan and project
risk matrix is briefly discussed. This has been evaluated that it is important to focus on procedure of
projects and activities so that positive objectives are achieved. Moreover, decision making process
is to be carried out with proper considerations.
