INTRODUCTION
Managing communication is that process for transferring or exchanging the
information or to share the opinion with each others. In organisation there should be an
effective communication between the employees and customers to retain in the market. In
organisation communication can be two types that is external and internal communication. It
depends upon the enterprises that which kind of information they uses (Anantatmula and
Thomas, 2010). While using the proper communication process it motivates the employees
and staff to do their work properly. Leaders in the organisation has to make the effective
communication with all as it will also increase productivity. The present report is based on
ABC company which is providing the various food items to customers within European
Union. In present report the internal and external sources has been done for making the
effective communication properly. Further, identification of stakeholders has been evaluated
which help the organisation in taking the proper decisions and to create the personal plan for
the improvement of the communication skills has been discussed.
TASK 1
1.1 Decision of different stakeholders for up a new business
For setting up the new business decision making is important as it include the
selection of course of action which are to be taken by the enterprises for attaining the targets
with in time period (Austin and Pinkleton, 2015). There are different stakeholders and their
decisions are affect he whole organisation. The following decision is taken by the different
stakeholders of ABC company.
Operational decision – These decisions are taken by the middle and junior level of
employees or managers of ABC company. These decisions are related with the day to day
activities. These decision are based on the facts which are collected form the customers and
helps them in taking the correct judgements.
Strategic decision – These decisions are taken by the top authorities and the set the
targets and goals of the company. Generally these decision are complex in nature. These
decision can affect the decisions of senior managers for the improvement of quality of
services. The managers have to take the risk for achieving the long term objectives. These

decision are deal with the harmonizing the resources in appropriate manner to attend the
opportunities (Caracaş and et. al., 2011).
Tactical decision -While taking these decisions it helps the managers to implement
proper strategies which are adopted by the middle level management of ABC company.
Through these decisions the managers can also evaluate their infrastructure facilities which
are provided to customers. The managers have also to provide the proper operation to
employees with appropriate adjustments which helps them in achieving the objectives of
company.
1.2 Information and knowledge which are required for making the decisions
The manager of ABC company have to take the decisions for the improvement of the
quality of services and and for the organisation by using proper information. Along with this
the employees and staff should be aware about the organisation missions and visions with the
company targets (Coombs and Holladay, 2011). For starting the new business in new country
and wants to sell the food at high quality then the managers have to set the future plans and
actions for the achievement of business objectives. The managers of cited company should
have the knowledge and skills which differs from the functions of various departments and
helps them for achieving the targets of the organisation.
The manager have to make the proper coordination with employees so that they will
work in appropriate manner. The employees should get the appropriate knowledge regarding
their task so that they can not face any obstacles for achieving the short and long term
objectives. To increase the knowledge of employees and workers the managers have to
provide training and development programme so that it will also increase their efficiency
towards their work. ABC company have to fulfil the needs of workers so that they can
perform their responsibilities in good manner. In modern era, the customers wants high
quality of food so the manager have to use proper information to provide the good food to
consumers. Proper knowledge and information should be used the members which also helps
them for taking the corrective decisions (Coombs, 2014). When the members are taking the
correct decisions, it is the important part for the value judgement of ABC food company.
1.3 Internal and external source of informations
In organisation the two types of sources of information has been used which helps
them in attaining the targets and retain in competitive market. The information which receive

from the with the organisation is internal source of information. On other side the information
which are receiving form the outside is external source of information.
Internal source – The internal source of information are collected without the help of
researcher. It includes the different types of sources of information such as sales,
manufacturing, marketing and many more. The manager have to monitor the sales
information which are based on the products and services are offered to the customers.
Manufacturing information, the manager should know about the cost of manufactured goods
which also includes the wages paid to the staff, cost of raw materials. Marketing information
includes the team have to identify the products and services which can be offered to
customers (Cornelissen, 2014).
The suitability and reliability of internal source of information is up to the
organisation through this ABC food company can not identify the proper needs of customers
and can not retain for a long period of time in competitive market.
External source - the external source of information help the organisation to take
correct decision for targeting the business objectives. The company must be sure about the
reliability reliability of data which are collected. It includes the trade grouping, governments,
data base and research. The information which are revived from government is reliable
source. ABC food company have to use legal information which are provided by government
and helps them to run the business successfully in competitive market. While receiving the
information from the data base and research it helps the company to maximize their sales and
the level of interest of business in competitive market. These information ensure about that
these are accurate and reliable.
1.4 Recommendation for the improvement of information and knowledge
In following areas ABC company have to make the improvement for the better
achievement of organisation goals (Dean and Oetzel, 2014).
Personal and legal consideration – The managers have to find out the sources of
information which helps them to provide the qualitative of data. The managers should know
about the rules and regulations which are made by the administrative bodies and have to
apply the proper policies for running the business as well as by legally also. The manager
have to conduct market research time to time to identify the requirements of customers so that
the organisation can sell the foods on the basis of there needs and through this they can

improve the productivity and proficiency of enterprises. The organisation have to
acknowledge the knowledge on regular basis for attaining the targets of firm with in time
period.
Financial consideration – The members of ABC food company have to proper utilise
the funds in getting the information from different sources. It will also help them in
improvement of their quality and services and to provide high quality of food. The manager
have to share these information with the employees and staff so that they can also improve
their skills and give the best possible of outcomes from using the resources (Domingo,
2011). The information should be used in appropriate manner and it should be differ from the
different departments. The top authority have to proper utilize the funds for the improvement
of their productivity.

2.1 List of stakeholders
There are many stakeholders in organisation who invest their funds for start-up
business in competitive market. These stakeholders also assists in launching the new products
and services to attract the new customers. There are two types of stakeholders i.e. internal and
external and these explanation are as below.
Internal stakeholders – They are those people who are committed towards the
serving the organisation as donors, board, staff members. These stakeholders have right to
participate in the decisions of the managers. They are influence by the success or failure of
the enterprises because they invest a huge amount of funds. Internal stakeholders are highly
influenced by the performance, stability and other activities which are performing by ABC
food company (Geppert, Roessler and Avaya, 2010). If there is absence of internal
stakeholders then the business entity can survive in competitive market for a long period of
time.
External stakeholders – These are those person who are not interested in the
management activities but they indirectly affect by the organisation decisions. These
stakeholders are also know as the secondary stakeholders. These person are suppliers,
customers, governments, competitors and many more. These stakeholders controls the
strategic resources such as raw material, money and labour. They are not having any idea

about the internal issues of ABC food company. The organisation have to find out their
external stakeholders for the improvement of the growth and to maximize the sales (THE

2.2 Developing business relationships
To build the strong relations and to retain in the competitive market the ABC food
company have to make strong relations with those people who helps them in achieving the
targets of company.
Formal communication – The manager can use verbal communication method to
pass the information or message to other persons. Through this company can develop their
business relationships with the employees as well as with customers. The manager have to
follow a professionals rules, process and standards for achieving the business objectives with
in time period (Goins and Pye, 2013).
Identified shared goals and values – The manager have clearly defined their goals to
the employees so that they can not face any issues in relation to complete their task.
Regarding this the manager have to provide the proper training and development programme
to employees so that they can share their problems and it will be beneficial for the
organisation to build a strong relations with them.
After sales services – When the managers have provided their services to customers
then they have to take the feedbacks from them in improving the quality of services. It is the
duty of ABC company to fulfil the needs of customers so that they will get the positive
comments from the customers. Through this the sales and profits of company will increase
and can retain for a long period of time in competitive market.
2.3 Involving into decision making
The are many people who involve in the decision of the organisation to target their
goals with in time period.
Employees - The employee of ABC company have to provide an opportunity for
indulging in the company's decision making process so they will feel associated to the
company that their participation in the decision making process is taken and it also give the
satisfaction to them and they will love to do work with more sprite and enthusiasm. Apart
from that, they also aware that they have a key relation with top level management by taking
part in the decision making process (Goins and Pye, 2013).

Creditors and Suppliers - These are the members who deliver the raw materials to
the company. On the basis of such raw material prices company fixes the final prices of the
outputs. So, these are much spacial persons who takes part in effective decision making in the
organisation. ABC company is engaged in food sector as such persons plays a key role in
deciding the price of the final products.
Stakeholders - These are key persons in the ABC Company who actively participate
in the company's main decisions. Stakeholders includes shareholders, creditors, government
agencies, suppliers, customers, public financial institutions and others who are associated to
the organisation (Iedema, Long and Carroll, 2010). It is the easy tool which helps to make the
public relations, create a brand image in the market by providing great quality foods to the
consumers.
Clients - their participation in the decision making process is must. ABC Company's
board members have decided to grab opportunities and support to make better brand image
in the market. As, they also assist the company to make quality products as per the
clients/customers demand and wants which is helpful in achieving the long term objectives of
the firm.
2.4 Organising strategies for improvement
Community fair - The employee of ABC company which are mainly deal in food
restaurant chain. These have to engage the stakeholders of the firm. Which helps in making
the precise decisions at the initial level of opening of new business by which they can link
with every group (Ulmer, Sellnow and Seeger, 2013). With the help of this connection
company can determine the need of the user. The staff members have to convene the meeting
so that they can discovered the appropriate result which is to be recognized by ABC food
company so that they can extend the range to achieve at the primary point in the competitive
market. The organization members have to keep the financial strength of unit and it has
finished through the efficient statement of affairs and assist in assuring the financial
structure.
Fishbowl technique - The staff members and managers of ABC food chain company.
It can use the fishbowl technique. It is a kind of dialogue that can be utilized when the
institution members can cover the topics almost entire groups. It assist the firm or entire
group which aid in actively to participate in the organisation objectives for the achievements

of goals. Through this company gain the advantage form the group discussion and they can
take appropriate decisions for providing the better quality of services and food to customers

Formal communication: It is a type of verbal communication which helps in passing
of the information within an organisation through with a formal chain of higher authority. It
follows a definite procedure, rules and standard and totally avoids and ignores the slang
terminology. The information can be passed through upward, downward and horizontally. It
is defied as the official channel of communication. In this process reliability is high but the
passing of information is too slow (Jablin and et. al., 2011). It takes a lot of time in passing a
single view. Because it follows a proper channel. This is so effective way of passing
information but takes a lot of time due to following s systematic chain. In this form, full
secrecy is maintained. The tstaff members of ABC co. have to follow a proper chain of
passing information.
Informal communication: In this channel of communication there is no specific
chain which have to be follow. The information can be interchanged without using any kind
of official channel. Another name of this type of communication process is grapevine
communication. In this process reliability is less but the speed is high as compared to formal
chain. It does not take much time in passing of the information. Their is no written
documentary evidence of passing the view. This process saves times of workers but also
saves the time of information pass on. The decision making process is also become fast due
to less time consumption (Jalil, Ergen and Wichorus, 2013). But it also increases the number
of rumours in an organisation.
3.2 Ways to inculcate appropriateness
This vision is more convenient for strategic business terms rather than any technical
business and it have to work in a proper manner. And also helps to motivate managers to
work jointly for achieving common goals of an organisation. Here are some certain ways
which helps an organisation to improve appropriateness:

Evolution of inter personnel skills: This skills helps an individual to interact with
each other in an organisation. In this, in business sense this terms refers to as the ability of an
individual so that they can work along with others while doing the job. For achieving success
in food market, it is compulsory to making a good relation with customers who are going to
visit in an hotel (Kristensen and Vinter, 2012). They have to maintain a proper relation with
customers. By using this skills they are able to maintain and can be survive in any situation of
the market.

which can help to do the proper communication in attaining the goals and objectives of an
organisation. The employees of ABC food use different methods of communication through
which they can share information and a proper sharing of information can be pass on with
accuracy and a properly. Sharing of actual information helps in attaining the goals and target
of an organisation. Another applications like slack can also be used by business entities so
that higher authority can achieve their target goals in a effective time period.
3.3 Implementing improvement
Effective communication skills have to be used to make the organisation successful
(Liu and et. al., 2012). So some steps which have to adopt by ABC food to make a positive
attitude of their workers and can also helps in improving the inter personal skills of
communication. The communication should be friendly and informal. So, that it increases
efficiency by not compromising with any activity. All the persons have to equally treated.
The manager have to adopt those policies which encourages the staff members so that they
can gave their best. The authority also have to try to solve all the issues arising in the
organisation. They also have to work on the stress which a worker usually take. So, they have
to work over on this. So, that the result is maximum (Maylath and et. al., 2013). Also, they
have to improve their skills of learning so, that they can understand anything easily. They
also have to use those techniques and methods which help them to reduce the chances of
confusion between the employees and the customers. Also, they have to adopt those tools
which can help in decreasing the confusion chances between their workers also. And it helps
in increasing the efficiency and effectiveness of firm. The using of complaint box is
necessary but daily or regular complaints increasing the rate of red tap ism in an organisation.

The regular complaints of consumers are going to affect the large number of consumers. It
reduces the number of customers daily and may lead to shut down of the business.
3.4 Personal Development Plan
The company have to use the proper integration system of passing the information for
attaining the organisational goals and targets as it is mandatory for any business entity. In

person. The communication plan is effective in making of the decisions and also helps in

organisation efficiently (Neuenkirch, 2012). The ABC food have to do a proper research and
analyse all the situation which can affect the business internally or externally. They have to
maintain the proper report of the current situation so, they can meet all the demand of their
consumers in a proper way. The management have to maintain those goals and objectives
which help the organisation in long term and they have to made those targets which they can
easily attain without any kind of difficulty. Along with this they have to maintain their target
customers so that they can do proper transmission of their goals. The ABC food also made a
necessary analysis for all the groups which are important to them. Also, they have to do some
innovative ideas so that they can made the communication effective and proper. Moreover, all
the stated information should have simple and specific nature. So, that they can be easily
understood able to them.

4.1 Report on existing approaches
Collection- Collection means through which all the necessary data and report are
gather and transmit them easy method or targets. This can be done by the market
representative. He is taking the feedback from their customers and implement those ideas in
business. They are going to gave some forms to their consumers in which all the related data
of products in mentioned and necessary steps related to those can be done.
Formatting- ABC company using their own format for collecting data and necessary
information. So, that their data can be managed properly and can be easily understandable at

the the time of auditing. Their format is specific and simple. It is having their tables with
labelled their description (Ochieng and Price, 2010).
Storage- All the data can be stored in their system or in their library so that they can
found their adequate date and time at the time of need. All the data is stored according to the
blocks and the blocks represent the date and data of each and every information. The library
storage is quite risky for them, but storage of data in system helps them to maintain secrecy
of their information (Petronio, 2010).
Dissemination- It is a process through which company can facilitates its whole data
in an organisation at each level. The company using this techniques for spreading the
information in whole organisation to every employee. It helps to ABC food to create
awareness in the organisation. It also helps in attaining the maximum benefits and also helps
to improve the quality of work.
4.2 Appropriate changes for improvement
Management information system- It assist to take corrective decision interest of
organization through pre prepared reports with display. ABC company opted this method for
evaluating information related to market. Further, it is a data base programme which able to
produce regular report manage overall management of the firm. Leaders and managers makes
plans and strategies in order to control operational activities of company and help them to
meet their desired goals and objective (Rosenzweig and et. al., 2011). Targets can easily
attain with the help of Management information system. It is a computer based system which
prepared report related to financial information of company. Higher authority able to take
best decision for an entity as well as for members.
Decision support system- It can support to decision makers by receiving relevant
information in the specific situation. It can assist organization in maximising profits or
revenues and minimising operation and any other cost which reduce performance of company
in international market. Decision support system is the computer based process which is help
companies in decision making process. After collection various information leaders can make
plans and strategies in order to put firm in profitable position. Further, accurate information
to be collected with the help of this method and take necessary decision related with
organization. This method is able to combine various types of techniques and factors which

help ABC Ltd to produce efficient output. The main purpose of it is to solve problem and

4.3 Implement a strategy to improve access to systems of information and knowledge
ABC company make plans and strategies and execute them for remove negative
conflict from organization. It is a digital system which can collect various types of
information and put company in profitable position. Through this process firm can identify
faulty condition of it and can find out the best possible solution for it.

people can easily achieved their target. Greater knowledge of managers assist firm to
maximising the profit and minimising cost which improve earning efficiency of an entity.

from one person to another. It assist firms in smooth working of it and attain desired goals.
