Introduction:
System analysis and design is the process of identifying user and business requirements
and then converting those requirements into possible IT system plan. The analysis part is for data
collection and evaluation (Dennis, Wixom and Roth 2018). The design part concentrate on
defining system components and behaviors. The primary reason of using this method in business
is integrating modern day software solutions into business. The organization can apply a
customized approach for completing its data processing requirements. Business can implement
an entire application dedicated to some specific action or whole organization as well as scale that
solution as per need. Each and every part of the application can be designed to meet specific aim
of the organization (Dennis, Wixom and Tegarden 2015). The conditions and standards can be
set based on organization business processes. The system analysis and design process can allow
the organization to have a system that can offer the opportunity to complete globally. The system
which is planned properly is also tend to save a lot of operational cost. As every part will be
developed increasing productivity, the profit margin will surely increase.
The business analyst is the person who can identify the protocols as well as requirements
to build a technical system. In simple words, the business analyst will collect business related
data such as business processes, risks, loop holes and more and analyze those data to suggest
solutions. The first thing that a business analyst must do is planning. Each step to be executed
and what type of data is required for providing required solution must be identified before
anything starts. Then current business process is mapped into a process model. The gap analysis
is then conducted to find loop holes in the processes. Requirement gathering is essential part as it
provides the materials to fill the gaps in processes. Multiple solutions are generated. Scope of the

end result is derived so that optimum solution can be achieved. Test cases are done to test the
generated solution. At last the solution has to be completed.
Purpose of the work is identifying information on Mindy Hair so that current situation
can be properly analyzed. If current situation of the organization is evaluated properly and issues
in current processes are accurately identified then expected outcome is then collected. Based on
these two category of information, the system has to be designed. The primary aim is to create
the designs of the system accurately.
The structure of the report is divided into two sections mainly. The first section contains
the analysis part and second part is design. In the analysis section, the background of the
business, scope of the system and current system documentation is included. The design part
include the event table, data flow diagrams, data fragments and entity relational model.
The data is mainly collected from the free databases like google scholar, various blogs,
articles and more similar sources. The information on Mindy Hair was already available. The
designing is learned from sample files, books and tutorials.
Business Background:
The name of the business is Mindy Hair. The organization currently provide service
related to hairs such as haircut, hair color, blow wave and wash. Two main human resource of
the organization are employees and customers. The customer purchase the service in fixed pre-
determined price while the employee complete the service. Organization accept service request
from the customers through phone or personally. The owner of the organization receives weekly
reports of individual shops. The shops also sell hair products to the customers. Each shop uses

paper based catalogue service. Currently the organization has a static website which showcases
the products it sells.
The primary challenge is managing the customer appointment. The whole appointment
scheduling process is completed manually. The manual processes are very error prone and data
missing is a common issue. This is impacting the customer satisfaction level of the organization.
It can also harm business as employees do not have accurate data about appointment dates and
for any day the number appointments can be lower than required. Therefore, it impacts the profit
as well as customer satisfaction. The appointments are accepted through phone calls mainly. If
the person arrives at the shop then he/she can see the quality of the work. In case of phone calls,
the customer can change their mind as they do not have proper idea of quality of service Mindy
Hair provides. The employee may have to put a lot of effort to share the types of services they
offer and price for each. In the meantime a potential employee may have failed to reach Mindy
Hair as all the staff are busy.
The customer data are stored in papers. Managing the papers and finding a specific data
from the paper sheets is really time consuming work. The employees may need to indulge
themselves into a simple work like find address of a specific customer. Jordan receives the
weekly report individually from each shop. Analyzing and comparing all these three reports can
be a hard task. The possibility of committing error in the analysis is extremely high. It can
impact the decision making capability of Jordan. Inaccurate data and improper analysis will lead
to wrong decisions. The competitors are implementing IT solutions which is resulting into more
competitive business opponents. The organization will be out of business if modern day
promotions and IT solutions are not integrated into the business.
