INTRODUCTION
This assignment tells about various functions of UK based courier organisation, Purple
Mail Company (UPS). Designing and implementation of the strategies are main activities of any
business unit (Aitkenhead and McCann, 2017). Work of Human resource management (HRM) is
to encourage people at workplace and it is their responsibility to make an environment in which
resources can be utilised at its best. However, Working with team supports enterprises to achieve
the goals. In this case study, Purple Mail Company (UPS) has been considered (Edge, 2017). It
is a courier company in UK. Currently, it is facing issues regarding leadership, management and
other administrative issues. This assignment will cover the HR strategies to recruit and select
new staff for the company.
Task 1
1.1 Preparation of documentation for selection and recruitment process
The process of recruitment and selection is essential for getting the best suitable
candidates for companies like UPS. For hiring, HR needs to prepare two important documents
that are job specification and person specification. Documentation is very important to find most
suitable candidate among so many.
Job description: It is document that describes job profile as whole and also what will be the
responsibilities of post which is vacant.

Regulatory, legal and also ethical considerations are most important for any company
like UPS. By this, the company can have systematic procedure of recruitment. It will help to hire
the staff in lawful manner (Fredrickson, 2016). As a Human Resource Manager(HRM) of UPS,
it is known that the impact of legal and regulatory work would be wide in range on the
recruitment process of new staff. Equality Act 2010: It makes unable to do partiality with employees by discrimination. Its
HR's duty to maintain this rule in cited firm. This act prevents staff members from the
discrimination in regards with any disability, sex, race etc. The act makes HRM liable to
create healthy environment at workplace (Goetsch and Davis, 2014). It also allows
candidates to be selected on the basis of their skills and talents required for the post. Act for protecting data, 1988: This act has been imposed to employers for the data
protection of the employees. UPS trains their staff to this regarding so that they cannot
leak any information of employees.
Wages and Employment Act: The act for employment tells HRM to treat every worker
equally and also decide wages according to their performance, skills and consistency
(Goleman, 2017). If UPS does not follow these rules, employees can complaint for wage
revision and partiality so it can be harmful for cited fiem.
1.3 Evidence of selection process
Being a HR manager, it should follow the process of selection which is as follows:
Firstly, publish the news for vacant post. UPS is publishing news this regarding into
newspapers. It can also contact employment agencies to recruit more skilled people.
In order to select appropriate candidate for the firm, HR must schedule written tests. In
this way, it will be able to choose more talented individuals. Also, he can conduct some
qualitative and quantitative aptitude of aspirants.

All the shortlisted applicants will be called for personal interview. HR would ask them
questions regarding their personal skills, last job experience background etc.

HR needs to finalise candidates and prepare appointment letters for selected ones.
Final appointment will be done by providing the appointment letters to the applicants.

Being a HR manager, it is completely my responsibility to maintain healthy and peaceful
working environment for every in UPS. I will give my focus on the points that are listed below
for selecting candidates that will have worth for all the employees in the company:
I will ensure selection process will be done on the basis of the skills and qualification of
that particular applicant. I will not be the part of any kind of discrimination with
employees on workplace (Kelly and Clark, 2014). Every candidate whether He/She is
newly recruited or existing will be treated equally in company.
I would not select the candidate on the basis of his or her colour, race etc. it will be
purely based upon his talent and knowledge of that post. Only after this, the aspirant will
be selected and this will continue even after his/her joining.
Practices that are not ethical will not be entertained in this company. It will be my
liability to ensure this.
Before the final selection I will be aware of applicant's family background and also I will
make sure the candidate should not have any criminal records in the past (Kim and
Beehr, 2018).
The candidates will also be examined whether they have technical skills or nit because it
is essential for a courier company like UPS.
I will ensure that all the above points that are mentioned, are being following properly in UPS.
There should not be any breaching of law in the firm.

2.1 Skills and attributes needed for leadership
It is important for courier companies like UPS to have strong leadership qualities. Since,
it suffering from leadership issues for now, it becomes more important to have leadership skills
in managers of the company. They are needed these qualities to encourage and support

executives which will be helpful for the cited firm. There are various skills and attributes that are
needed in a leader of the firm which are: Skills to Communicate: The leader should be very good at communication with different
people in such a way that he can make others understand about the tasks to be performed. Excellent Motivator: As of now, UPS has lack of motivation at its workplace. Everyone
has assigned distinct goal and task. For its achievement, leader needs to analyse their
tasks and further give motivation to them. Skills of decision making and solving problems: Leader is a person in the firm, who
needs to take decisions quickly and it should be correct as well (Kirby, 2016.). In
addition, it is the requirement of his position to solve problems that are complex in
nature. It should be able to resolve queries regarding late delivery and other issues
smartly.
Team building skills: He must be able to tackle team efficiently and also inspire
employees to work as a team.
2.2 Difference between leadership and management
The term leadership and management sounds quite similar but they have some basic
differences in them which are as follows:

There are many styles of Leadership that are:
Autocratic style of leadership: In this type of leadership style, the top management takes all the
decisions and workers under them needs to follow their rules and instructions. It is applicable in
situations where the firm is facing redundancies. This way, the leaders can put pressure on
employees to complete a given task or tasks in a certain time frame (O'Sullivan, Moneypenny
and McKimm, 2015). Autocratic leadership style will support this type of critical situations and
eventually it will be beneficial to the company in generating great revenues.
Participative style: By this style, all the employees are to be encouraged for team work so that
each issue can be resolved easily and fast.
Transnational style: In order to achieve long term goals, this kind of style should be adopted by

Also, they should try to motivate workers and make them feel satisfied on the workplace. It will

workplace. So, workers often feel discouraged and demotivated. By giving motivation to them,
company can build confidence in the employees again. These are various ways by which UPS
can provide motivation to its workers:
The technique of monitory benefits is very amazing to motivate the employees to some
extent. By giving bonuses and incentives to workers, the cited firm can motivate them
and get better results in terms of performance of them.
The another tool to give motivation to the staff is recognition. Some people have needs
that are beyond monetary. Those needs are name and fame. This tool can work on this
kind of employees. For this, company can give awards to workers.

needed in firms like UPS to improve performances. To improve Morale: When people do their work in team, they start to support each other
in every problem. That support increases morale of team members to an extent where
they enhance their knowledge and keep the team spirit. To enhance innovation: people of different kind when like a team, they share their new
and innovative ideas to each other (Peterson, 2016). Through which companies get
benefited. Increased efficiency: With the help of team working, tasks can be performed effectively
and in given time. It increases efficiency in the work of employees that is important to
achieve targeted goals of firms like UPS.
To build trust: Team work develops understanding between workers and employers by
which trust starts to build among them. This way, conflicts will less likely to happen and
issues will be resolved effectively.
3.2 Importance of working in a team as a leader
Leaders deal with various problems in workplace. They also face some situations of

will promote innovation in organization. Working as a team, will support company in very

positive manner and for doing this, all employees must have to work in team. It will also create
less confusion in staff members and build understanding in them.
The members of team should get equal chance to communicate with clients, this way
they will get to know the requirements of clients and try to fulfil them as needed. However, it is
leader's responsibility to resolve their issues but its also responsibilities of team members to
support leader morally. On implementing all the above things, UPS can increase the
effectiveness of members of team. It will give benefits to the company at the end.

4.1 Factors that involved in planning monitoring and assessment
Assessment and monitoring, both are essential for UPS. It will help people to understand
their roles and also responsibilities towards company. By monitoring employees, they will know
strengths and weaknesses of them and feel motivated. Appraisals for good performances can be
very important to make future strategies for the firm. These are factors that are involved in
planning the monitoring and assessing work performances: Proper management of time: It is the factor by which companies like UPS can mange
time effectively. Scheduling the time is very helpful for workers to complete given task
in a certain time period. By policy implementation: UPS needs to make policies to enhance the performance of its
members. Organizational goals and objectives: On the basis of goals for company, it can set
objectives individually for all members of staff So that they will realise their
responsibilities towards firm. This can be beneficial for both employees and employers.
Hence, it will be beneficial for company as well by getting good performances of staff
(Vartiainen, 2015).
By being measurable: this technique will let employer measure the performances of
workers and rate them accordingly.
4.2 Plan to deliver the assessment of development needs
The Purple Mail Company is dealing with very serious problems like leadership and
lacking administration. Some improvements that are needed in the cited firm are as follows:
There is a must need of proper communication and coordination in company so that
people can feel free to share their views with the team and management as well.

to achieve that quality as a leader, he should focus on building good communication skills. He
should become a motivator to others to resolve their conflicts and also to guide staff members to
make them understand their responsibilities towards the firm. The leader required to work on
building teamwork spirit among the employees to minimize the occurrence of problems in them.
By this, workers will be able to improve morale and feel good about workplace.
