Introduction
The report aims at describing the operational activities that takers place within Swinburne
Guru consulting. With the growing technology it becomes important to understand the functional
and operational activities that takes paced within an organization. After analyzing the
functionally of business it becomes easy to understand the advantages that are obtained by the
organization. Analysis of the Swinburne management approach it was observed that the
functioning got effected by the traditional data management approach. This has also lead to
effect in success rate achieved by the organization. Thus it becomes essential to implement a
proper that will resolve all the operational challenges faced by the organization. The solution that
is being focused on for resolving the issue is the implementation of an effective information
system. The report will focus entirely on describing the functions performed by the information
system. The functional and non-functional requirements are also described along with the
functioning of new information system. With implementation of an effective information system
it will become easy to manage the information stored. This will also ensure that the data stored
within the organization are accessed easily without any issue.
Background of the Company
Swinburne guru consulting is an organization that was built in the year 2012 in
Hawthorn. The organization main function is to provide coaching to organization and to the
customers on leadership qualities, team work capabilities, and about enhancement in personal
performance. Emily is the main founder of the organization and aims at expanding the business
further so that better advantage can be obtained towards the organization. The organization

operates its functions throughout the Melbourne area. However the way of working is not
providing enough benefits, thus it is important to implement a process that will offer better
competitive advantage. Presently the organization is facing issues regarding information
management. The coaches associated with the organization works as sub contractors at time of
project development. Thus Emily decides to have a proper analysis team for better guidance and
to have better potential solutions that will help in aligning with long term strategic plan.
Current system scope
Swinburne Guru consultancy aims at providing coaching towards the employees and
organization regarding the management of work within the organization. The current system
offers the client to request for a personal tutor who will help in developing the particular skill
within the individual. The organization assigns a suitable coach and handles all fee. This are
referred to as assignments. The system starts responding towards the client only when the
receptionist ensures the availability of the tutor. At present the system aims at providing better
services towards the client within short time interval. Presently all the transaction and bookings
are done offline by managing the calls. It is expected that in future the organization will have a
better online coaching classes that will ensure booking of the classes from early and will get
notified through mails and messages. It is difficult to manage the assignment within the
organization as there are not sufficient monitoring devices. In addition to this the new proposed
system will also ensure that the system is able to cope up with all the assignment and will be able
to provide better support towards the client. The coaching specialist is allocated to clients as soon
they are found available so that they can provide quick services towards the clients.
