INTRODUCTION
The Human resource department contributes valuable efforts in recruiting skilled and
knowledgeable employees so as to gain maximum support from them in achieving desired goals
and objectives. The present assignment report is based on UPS company which deals in
providing courier services in United Kingdom.( Bush, and Middlewood, 2013 ) The project
report discussing about the recruitment, selection process for hiring the right employees in the
organisation according to their skill set. And it also includes about the legal, regulatory and
ethical factors that are necessary in the recruitment and selection process. In this we will also,
discuss about the differences between leadership and management.

1.1 Prepare a documentation of selection and recruitment process and documents required in
selection and recruitment process:
Recruitment and selection process is very important and primary function for every organisation
to initiate the operations in the business. The right personnels can make your organisational
successful whereas the wrong ones can injure your business turning the customers off, missing
sales and creating a toxic workplace environment. It is very necessary to follow experts
suggestions in the process of recruitment and selection so that the organisation can hire a
workforce that is loyal, ethical and will enhance your business goals , culture and objectives.
Recruitment process is concerned with the identification of vacancies that are required
according to the industry type, analysing the requirements of jobs and then after that when the
people apply for the jobs, reviewing their applications ,screening , short listing and selecting the
appropriate candidate according to the job designation suitable for him.( Caminotti, and Gray,
2012 )
Once the company is done with the recruitment planning and the process of recruitment
and now the company have a ample of applications from the people, then the company starts the
selection process. The selection process is concerned with the steps that involve choosing the
right people according to their qualifications that are required to fill a particular job designation.
Normally, the supervisors and managers are responsible for the hiring the staff of the
organisation but the HRM plays role in defining and guiding the managers in this process.
Documents required in the selecting and recruiting new staff:
For the recruitment and selection process in the UPS , there are certain documents which
are to be prepared by the company. The lists of such documents are discussed below:
Approval of the recruitment: Recruitment process is initiated when the the authorities
of the organisation approves it. Whenever the companies hire new employees they prepare a
draft with the description of the designation and the document describing the requirements. After
approving the document the authorities of UPS send it to the HRM department.
Position description: Once a organisation has advertised regarding the position for the
post they can not change it. So is is essential to make a confirmation regarding the post that they

are going to recruit before advertising. That description must include the roles and
responsibilities that are to required in that job designation( Fenwick,and Elcock, 2014 ).

1.2 Impact of legal, regulatory and ethical considerations in the recruitment and selection
process:
Impact of sex discriminatory act: This is very essential to follow sex discriminatory act
by the organisation in the recruitment and selection process. No person should be discriminated
on the basis of their gender. If the candidate qualifies for the designation in the UPS then he or
she should be hired no matter what is their gender( Hudáková,and Svetlík, 2013 ).
Equality regulation act: The company has a obligation to consider people with avery
age group in the recruitment process whether young or old. The HR manager should not provide
privilege to any specific group. If they do so they are in violation of this act.
Race relation act: If the person who wants to apply for a job has a work permit, then he
can apply for the job. If the recruiters put advertisement for any particular nationality or religion
then the company isn considered for violating the act.
1.3 Evaluating and taking part in the selection process:
After the advertising is done the process of selection starts. HR manager plays an important role
in this process and I am taking the responsibility in the selection process to appoint a store
manager for the UPS. The steps involved in the process are discussed below:
Selection of recruitment and selection board: It is the duty of the HRM department
select the manager board who will play a role in the selection of new staff. The selection of
board members is done by HR manager. In this process, I had to choose three selection and
recruitment board as a HR manager. Every board consists of the head of every department in
which the employees are being recruited. This board is responsible for the interview of the
applicants.
Short Listing of candidates: In this process, a large pool of applicants are short listed
after checking their applications. The methods that are used in the listing by the UPS is MCQ
exam, Written Exam and after short listing the interview is conducted of these candidates.
Interview: The selection board that was selected by me as the HR manager , then calls
the candidate who were short listed for the personal interview with the selection committee. Here
the candidate is questioned various things like the background of applicants, their knowledge and
work experience etc.

Appointment : In this the selection committee recommends the candidate who is find
suitable by the board, after that it is duty of my department to appoint the selected candidate in
the organisation( O'Loughlin,2011 ).
1.4 Evaluating my own contribution in the selection process:
As per the instructions provided in the project, since I was the Trainee HR manager of the UPS I
took part in the preparation of the documents that are significant for the selection procedure of
the candidates and also put the advertisements for the recruitment of the UPS. I was also part of
the selection and recruitment committee of UPS ltd. I took part in the short-listing of the
candidates and I was present in the room where the interview was held with the applicants. And
in the end , I worked in making the necessary documents for appointing the selected candidates
into the company.
TASK 2
2.1 Skills and attributes needed in leadership in UPS:
There are various qualities, skills and attributes that are required to be a good leader,
these are discussed as underneath:
Honesty: We are aware that honest is the best policy. The leader of the team should be honest to
the members, because if he will posses honest and ethical values in his work. The members will
follow the same and therefore team will be an honest team.
Communication: It is the very important quality for being a good leader. If the team leader will
be efficient in communicating the work to the members then only they will be able to work on
that, lets say that a leader comes up with a good idea to increase the productivity but if he is
unable to communicate that effectively to the members then it will become useless. So, good
communication skills of an leader becomes a blessing for the team.
Ability to inspire: A good leader should have an ability to inspire and motivating the team in
achieving the tasks so as to attain the overall organisational goals. The leader has the duty to
make the team work harder and effectively.( Raffaele, and Connell, 2016)
Creativity:The good leader will have an quality of creativity. Creativity in the working and
performing the tasks are very essential in achieving the tasks efficiently. If the leader is not
creative then the members of his team will also lack creativity. The importance of creativity lies
when he is required to take flying decisions.

Confidence: Confidence is the key for the success. The team leader has to be confident in
guiding about the work to the team. There are certain times when the work assigned is
worrisome and the plans that are created by the management may not work , in situations like
these a team leader must possess confidence otherwise team will not be able in overcoming the
problem.
2.2 Difference between leadership and management:
In UPS, there is a huge difference between the work of the leader and a manager.
( Schmidtz , 2017.) The are various differences in the responsibilities in the workings of UPS
that are discussed below:
LEADERSHIP MANAGEMENT
The leadership skills are gained by the person
after he has received a suitable training and are
not possessed by the person since birth.
These kinds of skills are gained over years
through work experience and these cannot be
taught through training or classes.
Leadership skills helps the organisations in
motivating their employees in a more creative
manner and thus this leads in innovations and
in turn enhances the productivity of the
company.
Management have their own guidelines which
they are required to follow to perform their
duties in the organisation. Thus they are not in
a position to use their innovative thinking, they
have to follow the guidelines.
The leaders have the responsibility of solving
the issues that the employees are facing in the
company.
The duty of management is to find the issues
that are faced by the employees of the
organisation.
The advantage of leadership skills can be
received only if there is mutual trust and
understanding between the leaders and
members.
Management aims at gaining the trust of the
employees by highly motivating them and by
providing them what they want.
2.3 Different leadership styles for different situations:
Autocratic: This leadership style allows the leader in decision making by himself without
consulting or communicating with other. Every leader tries to impose their will and authority
over their members, in this style no one can question or challenge his decisions.

Laissez Fair: In This type of leadership, the managers provides the regular basis feedbacks and
direct supervision. The employees which possess high experience and skill set needs very less
supervision and guidance. But this type of leadership style is not fit for every employee.(
Skipton and Lang,2010 )
Participative: As the name suggests in this kind of leadership, the manger listens to the
perspective of every employee and member of his team. And in most cases the decision is taken
on the basis of the majority. This is often also named as democratic leadership. This is a good
form of leadership because it increases the morale of the employees because their opinion is
considered in the decision making.
Comparison: Among all the leaderships that we discussed above the most suitable kind of
leadership is democratic or participative because autocracy is not praised by every one and also
because it gives special importance to the leader and his decisions are considered final without
further consultations and it does not considers the opinion of anyone. Then the lassies fair can
not be applied in very organisation. It is suitable only in those organisations where the employees
are highly skilled and competitive . So it can be concluded that democratic leaderships is the best
and it will be most appropriate for the UPS ltd.
2.4 Ways to motivate staff in achieving the objectives:
There are certain motivational theories that are adopted by the companies to motivate
employees in achieving the objectives. Some of them are discussed below:
Proper communication with the employees: It is the very basic thing but an important
one. The employees must know that they are listened , valued and understood by the managers of
the company. They also need to know that they are an important asset for the organisation. If
they have any query regarding anything they need to know that there is a channel of
communication available for them where they can be listened. This assurance will make them
comfortable and will motivate them in working more efficiently for the organisation.
Better salary, rewards and recognition: Every person who is working has their own
needs and they want them to be fulfilled. The employees work in the companies to earn
livelihood and receiving a good salary is their right. But there are certain things in addition
which motivates them more to work with full enthusiasm for the organisation. These include
giving rewards , providing recognition to the employees who work their best for the organisation.
The rewards include giving bonuses, incentives, gratitudes etc.

Involving employees in decision making process: Companies take many decision on
regular basis regarding the operations of the business and for the attainment of organisational
objectives. Major decisions of the companies are taken in the board room but that does not
implies that employees cannot choose their working styles. They should be allowed to take small
decision regarding the method they would like to implement in accomplishing the work etc.(
Tuckerand et. al.2014 . )
Offer Training and Development to employees: The employees are required to train in
order to develop their skills and abilities. The employees want to know that they are developing
their abilities every day to perform more accurately and efficiently. Every person has their own
goals and ambition. They need to know that there skills are developing everyday so they are
motivated to stay in the organisation.
TASK 3
3.1: Benefits of team work in an organisation
The main benefit of doing a team work is that it allows organisations such as UPS in
attaining objectives that would be impossible for them if they were focusing on working
individually. The certain benefits of doing the teamwork is given below:
High Quality Outcomes:
 High Efficiency: As every team has lots of individuals and they all have separate set of
skills therefore a team can achieve more then a individual alone.
 Faster speed: As the team uses combined efforts, they can achieve more objectives
because of faster speed of work.( Warner Burke,2011 )
 Innovative Ideas: When the tasks are assigned to the teams the various ideas are
generated from various individuals working together and therefore brings innovation in
the workings.
 Effectiveness: When lots of people work together in the organisation, its brings more
effectiveness in the work.
 Mutual support: Employees working in the teams provide mutual support to each other
in case when the work load is higher, this helps in overcoming tough situations.
 A Great sense of accomplishments: When the members work in the collaboration with
each other and take responsibilities mutually they feel a great sense of accomplishments.

3.2 Demonstration of working in team as leader and member towards achieving specific goals:
UPS ltd faces many complicated situations in their day to day organisational activities.
Usually the employees of the organisation solve their problems by working as teams together just
like they should be. The goals of doing work in the teams should be team oriented. They are also
able to manage the conflicts that arise during working together very effectively by properly
listening to each person's perspective. As a team member and as a team leader they are very
efficient and effective.
3.3 Effectiveness of the team in achieving the goals:
The teams working in the UPS company is very effective and efficient in the competitive
industry. The team needs diversified knowledge if it wants to work in any other environment.
But the teams of UPS limited as that kind of knowledge, and they help each other in overcoming
the problems of the organisation. The working in the teams requires the quality to respect the
opinions of other members of the group and they should know how to respect every one of them
and the team of UPS limited has all these qualities. Thus this team is able in overcoming all the
problems that arise in the company. UPS limited has a very efficient team.
TASK 4
4.1 Planning and monitoring performance
There are various kinds of methods that helps in evaluating and monitoring the performances .
These are discussed below:
 Performance Check: The leaders Appointed by the UPS ltd have the responsibility to
check the performances of the personnels as they are only one to check whether the
employees are working in an appropriate manner or not. It is very important function of
any company.
 Sample methods: This is essential that organisations should adopt these methods by
which they can control all the employees, which also helps in attaining organisational
objectives.( Williams, 2011 )
 Interview: This will provide guidance in identification of skills and knowledge of the
employees such that only talented employees are recruited at right designation.
4.2 Development needs of individual skills at UPS:
There is an creative plan for measuring the development and growth of the individuals as
under:

 By determining the capabilities of the individuals, it will be simple for checking whether
the employee is capable of performing the activities or not.
 Various plans are developed for determine the objectives and aims that company want to
achieve.
 This will help in finding the negative qualities of a person so that it can be corrected at
the right time and no loss is suffered to the company.
4.3 Evaluation of process of leadership and management:
Management and leadership activities are very significant and plays an important role in
the attainment of goals. It is very essential to identify the problems and take corrective actions in
the company by managers. This helps in the efficient and effective performance for doing a task.
Whenever the managers see that there is need of training and development programmes it is their
duty to take actions to apply learning programs. There are many training programs through
which employees can be educated and the managers have to choose the cheapest and most
effective one. And it is essential to measure their skills properly before and after this training
program.( Yankuzo, 2014)
According to various changes in the environment the changes are need to implemented in
the policies of the company. Also is is essential to make modifications in the working styles and
they should be communicated to the employees in an efficient manner so that they can act on it.
There are employees who resist to the changes in the organisations , but the managers has to
influence and motivate them ton accept those changes by telling them their advantages.
CONCLUSION
It has been concluded from the above research report that leadership is an important skill
in tackling a complicated and new situations. A good leader can impact the organisation in a
effective manner by leading the people up front. A leader is required to face new situations every
day and take the challenges in an effective manner. A challenging good leader can solve the
problems and confront every challenge that may be presented to him.
